In this role at the NTU Events Office, the Executive will support the delivery of a wide range of university events and gain exposure to their operational and stakeholder complexities. The role offers opportunities to work closely with senior management, high profile VIPs, distinguished alumni, major donors, and a broad spectrum of internal and external stakeholders.

The Executive is expected to provide effective event support while developing a strong understanding of NTU’s organisational structure, culture, and protocols. The role requires confidence in engaging key stakeholders and the ability to build and maintain productive working relationships to support successful event delivery.


Responsibilities:

  • Support the Project Lead in the planning, coordination, and execution of events across physical, virtual, and hybrid formats, including conferences, networking events, ceremonies, corporate launches, and ministerial visits.

  • Assist with event logistics, including budgeting, procurement, registration, and F&B arrangements.

  • Coordinate event programmes, including the engagement of speakers, performers, and entertainment where required.

  • Prepare participant communications, including payment advisories for chargeable events, and manage event related enquiries via role-based email accounts.

  • Set up and manage events on NTU’s integrated events platform and track project milestones to ensure timely delivery.

  • Coordinate onsite operations, including suppliers, production crews, and temporary staff.

  • Provide event secretariat support, including agenda preparation, minute taking, and risk assessment administration.

  • Undertake additional duties such as inventory tracking, data collation, and supporting team or departmental activities.


Requirements:

  • Diploma in Events and Hospitality Management or a related discipline.

  • At least one year of relevant experience in events management, preferably within an academic environment.

  • Experience supporting virtual and/or hybrid events.

  • Knowledge of video production, HTML5, CSS, Sitefinity, or SharePoint is an advantage.

  • Strong interpersonal, communication, and writing skills.

  • High attention to detail, discretion, and sound work ethics.

  • A proactive and self-motivated individual who is also a reliable team player, with creativity, resilience, and adaptability.

  • Proven ability to manage multiple projects, timelines, budgets, and deliverables effectively.
