Facilities Operations Management

  • Oversee the daily operation of office buildings and workplace facilities.
  • Ensure office environments are clean, safe, and fully functional.
  • Manage reception, mailroom, pantry, cleaning, security, and other workplace services.
  • Monitor building systems including HVAC, lighting, electrical, plumbing, and fire safety systems.
  • Coordinate repairs and preventive maintenance activities.

Vendor and Contractor Management

  • Manage relationships with landlords, property management companies, and external service providers.
  • Negotiate and administer vendor contracts.
  • Monitor vendor performance against Service Level Agreements (SLAs).
  • Conduct regular vendor reviews and cost optimization initiatives.
  • Ensure contractors comply with company safety and security requirements.

Workplace Health, Safety, and Compliance

  • Ensure compliance with local regulations, workplace safety requirements, and fire codes.
  • Conduct regular workplace risk assessments and safety inspections.
  • Develop and maintain emergency response and evacuation procedures.
  • Organize fire drills and business continuity exercises.
  • Investigate facility-related incidents and implement corrective actions.

Business Continuity and Disaster Recovery

  • Support Business Continuity Planning (BCP) and Disaster Recovery (DR) programs.
  • Maintain alternate workplace arrangements for critical business functions.
  • Coordinate facility readiness during emergencies, natural disasters, or pandemic events.
  • Ensure critical infrastructure and workplace services remain operational.

Space Planning and Office Administration

  • Manage office space allocation and occupancy planning.
  • Coordinate office moves, expansions, consolidations, and renovations.
  • Maintain seating plans and workplace utilization data.
  • Support hybrid working arrangements and workplace transformation projects.

Budget and Cost Management

  • Prepare and manage facilities operating and capital expenditure budgets.
  • Monitor utility consumption and facility-related costs.
  • Identify cost-saving opportunities and improve operational efficiency.
  • Approve facility-related invoices and track expenditures.

Security Management

  • Oversee physical security measures including access control systems and CCTV.
  • Manage office access cards and visitor management systems.
  • Coordinate with corporate security teams on incident response.
  • Ensure protection of employees, assets, and confidential information.
