This position is eligible for a hybrid 3 in-office, 2 out of office day work schedule.

Pay Range

$28.55 - $42.85

EDUCATION/EXPERIENCE:

MINIMUM ACCEPTABLE QUALIFICATIONS
Bachelor's degree in related field and 3 years' experience; or an equivalent combination of education/experience.

LICENSURE, CERTIFICATION, and/or REGISTRATION:

ESSENTIAL FUNCTIONS:

1 . Provides overall coordination and management of evaluations and student evaluation records business processes.

2. Maintains an extensive knowledge of school and the Liaison Committee on Medical Education (LCME) accreditation guidelines, policies and procedures related to processing academic records. Coordinates, manages, and recommends changes to programs and processes based on accreditation regulations and university policies. Responsible for the day to day interpretation, implementation, and communication of policies and procedures.


3. Maintains confidentiality of student records in compliance with the Family Educational Rights and Privacy Act. Ensures that student records are maintained in a professional and secure manner. In coordination with the Office of Student Records, interprets the rules and regulations for the retention, disposal, and archive of student records.

4. Directly supports Medical Education faculty members and provides administrative backup/support. Provides customer service to faculty, students, and administrative areas related to examination administration, grading, evaluations of student academic performance, and progression through the MD curriculum as required by the MD Policy on Satisfactory Academic Progress. Manages communication with students, faculty, and other university units regarding evaluations services for the M.D. program.

5. Collaborates with Medical Education Leadership to manage preparation for, processing of, and reporting on academic evaluation activities each term.

6. Evaluates records for drop/add; withdrawals, and grade changes. Grants permissions for enrollment in restricted courses.

7. Manages collection, recording, maintaining, and reporting of grades related to academic performance and student progression through the MD curriculum.

8. Implements student-centered workflows that are efficient and effective, ensuring that exam grades, class rank, and request for official academic evaluation information are provided in a timely manner.

9. Responds to direct requests from faculty and students through phone, email, and assisting visitors in the office. Resolves complex situations with students, faculty and other constituents regarding requirements for satisfactory student performance in the MD curriculum.


10. Develops and implements proactive business solutions to enhance the efficiency and productivity of evaluation services business practices. Ensures that faculty, students, and staff receive accurate and up to date information regarding evaluation, student records, and course management.

12. Directly supports the Assistant Professor of Medical Education overseeing the Office of Evaluations, and provides administrative backup/support utilizing specialized skill and expertise in evaluations processes. Support and advises MD students regarding academic performance through the student life cycle.

13. Manages evaluations follow-up by running reports, develops communication strategies for MD program student and faculty cohorts, and maintains reports/spreadsheets for student populations and the Department of Medical Education.

14. Make recommendations to departmental faculty and leadership for continuous quality improvement related to processes for evaluations as required by accreditation guidelines

15. Independently interpret exam item analysis statistics and provide consultation, expert advice and recommendations to course directors for exam question review. Maintain student exam database and construct data files that contain longitudinal student performance data for reporting as well as for school leadership for internal monitoring.


16. Assists with training and documentation of processes and procedures in all areas of evaluations services.

17. Oversees the work of other staff and faculty assisting in the performance of evaluations related activities.
