We’re looking for a Team Coordinator who is ready to support our team towards success with full energy. Within this role you will find a diversity of responsibilities and you will work closely with our Real Estate & Customer Experience Manager, Operations Construction Manager and Facility Manager. As a team we work on managing our logistics portfolio and maintaining our customer relationships in the Benelux.

What does this role look like?

As a Coordinator, you will support the Property Management team in the Benelux. In this role, you are responsible for supporting part of the team in their day to day management of our portfolio in the Benelux. You will work closely with the two other Coordinators in the team.

Your responsibilities are diverse and include managing rent payments, preparing service charge settlements, administratively managing our OPEX budgets and invoices within the system, drafting tenant communications, and assigning service tickets to our Maintenance Contractors. You will also organize and coordinate activities related to client move-ins and move-outs efficiently.

What’s needed in order to do that:

  • Work close together with Property Manager (Real Estate & Customer Experience manager) and Facility Manager to support on customer requests.
  • Assisting Facility Manager with customer repair requests in PrologisFM.
  • Working with the Account team on payment collections, processing vendor/customer payments, and preparing annual service charge reconciliation.
  • Support Property Manager (Real Estate & Customer Experience manager) with OPEX management.
  • Prepare customer letters / communications
  • Manage customer contact data
  • Able to work with outlook for agenda management

  • You have experience in a coordinating role or similar field
  • You are fluent in Dutch and English (French is advantageous in our Belgium market but not required).
  • You work well with a team
  • You are good at managing many projects and tasks at once, delivering them efficiently and correctly.
  • You can prioritize tasks to meet deadlines.
  • You know how to use Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • You have a positive, proactive attitude and know how to get tasks done effectively.
  • You are able to handle sensitive matters with care and confidentiality.
