Facilities Manager – Aviva Investors Account

Location: Trinity Square, Nottingham (with occasional travel to Stonebridge Cross Business Park, Droitwich, Spa, Worcestershire )

What this job involves:  

JLL is seeking a dynamic and experienced Facilities Manager (FM) to oversee facilities management services at Trinity Square, Nottingham. This pivotal role focuses on upholding superior property management standards and delivering exceptional service to occupiers, while fostering strong collaboration with the Property Management team. The FM will be instrumental in ensuring the smooth operation, maintenance, and enhancement of these high-profile assets. 

 

Reporting Structure 

  • Reports to the Senior Facilities Manager  

  • Works within "virtual teams" alongside Asset and Property Managers, Surveying Executives, and Client Accountants 

  • Provides direction to on-site facilities staff and contractors  

 

Key Responsibilities 

 

Client Service 

  • Understand and implement client objectives and instructions 

  • Develop and deliver comprehensive facilities services reporting to clients 

  • Build and maintain strong client relationships through regular communication and exceptional service delivery 

  • Coordinate with property-specific stakeholders to address unique requirements of each site 

 

Facilities Management 

  • Oversee smooth property transitions into management and prepare facilities for potential sale or acquisition 

  • Lead due diligence processes related to facilities aspects during disposals and lettings 

  • Implement and maintain facilities management according to JLL's Facilities Management Best Practice Manual 

  • Serve as the principal point of contact for building operations, establishing productive relationships with occupier representatives across all three properties 

  • Resolve complex facilities issues with minimal escalation 

  • Manage emergency response protocols, ensuring comprehensive out-of-hours coverage using JLL systems 

  • Develop, manage, and control service charge budgets, including setting budgets, quarterly variance reporting, and final reconciliation 

  • Lead procurement activities following JLL's procurement programme, negotiating with contractors and vendors to ensure value and quality 

  • Establish and monitor contractor performance metrics and ensure compliance with service level agreements 

  • Drive Socially Responsible Management initiatives  

  • Oversee the management of building plant and equipment, including the specialised building management systems 

  • Plan and implement capital projects and improvements within established budgets 

  • Develop site regulations and manage permit-to-work systems for all contractor activities 

  • Create, maintain, test, and implement comprehensive disaster planning procedures, including organising emergency drills at each property 

  • Establish robust site record keeping systems according to best practice guidelines 

  • Create and update occupier handbooks and communication materials specific to each property 

  • Monitor and manage vacant/void spaces across the portfolio in accordance with client insurance policies 

  • Conduct regular site inspections and develop preventative maintenance programs tailored to each building's unique requirements 

 

Qualifications and Skills 

  • Proven experience in facilities management, preferably in commercial property  

  • Relevant qualifications in facilities management, building services, or related field 

  • Comprehensive understanding of building systems and maintenance requirements for premium commercial spaces 

  • Exceptional communication and client service skills 

  • Strong problem-solving abilities and commercial awareness 

  • In-depth knowledge of health and safety regulations and compliance requirements 

  • Proficiency with facilities management software/systems and budget management 

  • Leadership abilities with experience managing service providers and contractors 

  • Strong organisational skills with ability to manage multiple high-profile properties and priorities 

 

Additional Information 

 

This position requires occasional emergency response outside normal business hours and occasional travel to another property in the Droitwich area. The Facilities Manager plays a crucial role in maintaining asset value while ensuring exceptional occupier satisfaction across this premium property portfolio.
