Job Description Summary

Responsible for project operations and programs support including standardization, quality management, document management, methods creation and maintenance, process improvement and tools for the order management function. Accountable for the quality of own work. Subject to direct operations supervision/prescribed work instructions/systems checking. Executes within a well-defined operations framework. There is generally a step by step sequence of standard operational tasks which need to be followed to achieve an end result.

Job Description

Roles and Responsibilities

  • •    Responsible for receiving orders and accurately entering orders into SAP order management software

    •    Prepare the Order Acknowledgment

    •    Prepare the Down Payment invoice if any

    •    Prepare the Bank Guarantees requests through ALOC SYSTEM if any

    •    Assist the project managers with administrative duties

    •    Communicate with other departments such as Technical Support, Purchasing, Logistics, Manufacturing,

          Commercial, Product Managers, etc.,

    •    Resolve customer issues

    •    Support other ordering processing including expediting orders, change orders, returns, monitoring

          order status and resolving discrepancies.

    •    Main actor for Sales Revenue Recognition to be monitored and granted

    •    Document administrator for invoicing, bank guarantees and export documentation including

           letter of credits

    •    Support TPM in WSM meeting for catching the delivery dates

    •    Measure the transport costs in comparison vs. budget

    •    Organizing the transport with freight forwarder

    •    Duly data entry for monitoring the monthly Rev. Rec.

Required Qualifications

  • ·       This role requires basic experience in the Project Management & Document Management. Knowledge level is comparable to a Bachelor's degree from an accredited university or college ( or a high school diploma with relevant experience).

    ·       English & Italian – preferable also other languages like Spanish and German and French.
