A Day in the Life
We have an exciting opportunity for a Customer Specialist, focusing on Acute Care and Monitoring (ACM) HCP/HCO Services. This position will be responsible for providing comprehensive support to healthcare professionals, healthcare organizations, and internal stakeholders by managing operational processes, including contracting, payment processing, grants, donations, documentation, and cross-functional coordination with Legal, Compliance, Medical Education, Sales, Marketing, and other internal partners.
Responsibilities may include the following:
- Manage intake, processing, documentation, tracking, and closeout of HCP/HCO grants, donations, sponsorships, contracts, payments, and related services in alignment with internal policies, compliance requirements, and cross-functional approval workflows
- Coordinate cross-functionally with Legal, Compliance, Finance, Medical Education, Marketing, Sales, and other internal partners to support timely review, approval, contracting, payment, and documentation
- Ensure requests are complete, accurate, and aligned with internal policies, compliance requirements, approval workflows, and applicable regulations.
- Maintain accurate records and documentation for all grants, donations, contracts, payments, approvals, and related correspondence
- Support HCP/HCO engagement processes, including contracts, honoraria, payment documentation, letters of agreement, and required follow-up materials
- Serve as a point of contact for internal teams and external customers regarding request status, documentation requirements, process questions, and operational timelines
- Track program milestones, payment status, required deliverables, reconciliation items, and closeout documentation to ensure timely completion.
- Identify process gaps and recommend improvements to increase efficiency, consistency, transparency, and customer experience
- Support reporting, audit readiness, transparency requirements, and quality/compliance documentation related to HCP/HCO activities
- Perform work in accordance with company policies, quality procedures, healthcare compliance standards, and applicable legal/regulatory requirements
- Coordinates/participates in numerous tasks/projects in a fast-paced environment in an organized manner while meeting deadlines
- Travel requirement: <15%
Required knowledge:
- Bachelor's Degree
- Experience supporting operational, administrative, or program coordination processes in a regulated environment (e.g., healthcare, pharma, MedTech, finance).
- Experience managing documentation, tracking workflows, or processing transactions (e.g., contracts, payments, requests, approvals).
- Demonstrated ability to work cross-functionally with multiple stakeholders.
- Experience working with data tracking tools, systems, or enterprise platforms.
- Strong attention to detail with a focus on accuracy, compliance, and documentation integrity.
- Direct experience supporting HCP/HCO engagements, including contracting, honoraria, grants, or sponsorships is advantageous
- Knowledge of healthcare compliance regulations (e.g., Sunshine Act/Open Payments, anti-kickback considerations, FMV processes) is advantageous
- Experience supporting audit readiness, reporting, or regulatory documentation is advantageous
