A Day in the Life

This candidate will be part of Medtronic’s corporate legal department and provide crucial logistical support to the Board of Directors. Additionally, this role will also provide administrative support to the Corporate and Securities team, including 2 Legal Counsel, and 3 Paralegals. Individual must be able to work in a fast-paced environment with changing priorities. The candidate must be experienced, organized, detail-oriented, process-driven and confident in their abilities.

Responsibilities may include the following and other duties may be assigned.

The position will require strong skills related to: word processing with speed and accuracy, solid organizational and prioritization abilities, high level of professionalism, and effective meeting and event planning. The responsibilities and key accountabilities for the role are as follows:

Board Meeting Support

  • Manage and coordinate the logistics of the Board of Directors meetings

  • Arrange domestic and international commercial travel reservations for the Board of Directors and support team

  • Maintain venue contracts, ground transportation and aviation, and expenses within budget spreadsheets

  • Arrange payment of invoices for all expenses and board meeting vendors

  • Manage expenses for Sunshine Act reporting

  • Maintain discretion with confidential information

  • Attend Board of Directors meetings, including evening events, which will require occasional travel

Manage Legal Files and Document Preparation

  • Maintain corporate governance legal department files

  • Maintain departments incoming and outgoing mail

  • Maintain the Corporate Secretary SharePoint site

  • Assist with intake and routing of documents for signatures submitted under the Corporate Document Signature Request Forms

  • Assist with legalization and apostille requests

  • Assist with photocopying, scanning and assembling documents

General Administration

  • Process legal invoices, expense reports and AmEx expenses for payment for the Corporate and Securities team

  • Manage department needs for equipment, file space and supplies

  • Manage all Board meeting and logistics supplies

  • Support cross functional teams on special initiatives and projects

Manage Calendars and Process Communications

  • Set appointments/meetings/conference calls/videoconferences

  • Keep calendars and deadlines current

  • Read and respond appropriately to e-mails, mail and phone messages

  • Interface with business clients, high level executives and senior management teams

  • Plan and arrange in-person meetings and/or video conferences

MUST HAVE: MINIMUM REQUIREMENTS

  • High School Diploma or GED with 6+ years of administrative experience to include administrative experience in Legal

NICE TO HAVE

  • Event planning experience is strongly preferred

  • Prior Board of Directors experience preferred but not required

  • Post-secondary degree or education

  • MS Office

  • Proven track record of strategic thinking and decision making

  • Ability to maintain composure in this high demand and sometimes high stress position

  • Strong organizational and interpersonal communication skills

  • Ability to prioritize and multitask

  • Detail oriented

  • Team player with ability to accommodate differing work styles

  • Resourceful

  • Self-motivated and willing to work independently when necessary

  • Agreeable to workplace changes

  • Strong spelling, grammar and punctuation skills

Salary ranges for U.S (excl. PR) locations (USD):$72,400.00 - $108,600.00

This position is eligible for a short-term incentive called the Medtronic Incentive Plan (MIP).

The base salary range is applicable across the United States, excluding Puerto Rico and specific locations in California. The offered rate complies with federal and local regulations and may vary based on factors such as experience, certification/education, market conditions, and location. Compensation and benefits information pertains solely to candidates hired within the United States (local market compensation and benefits will apply for others).

The following benefits and additional compensation are available to those regular employees who work 20+ hours per week: Health, Dental and vision insurance, Health Savings Account, Healthcare Flexible Spending Account, Life insurance, Long-term disability leave, Dependent daycare spending account, Tuition assistance/reimbursement, and Simple Steps (global well-being program).

Regular employees are those who are not temporary, such as interns.  Temporary employees are eligible for paid sick time, as required under applicable state law, and the Employee Stock Purchase Plan. Please note some of the above benefits may not apply to workers in Puerto Rico.
