Position Title: Assistant Event Manager
Department: Events
Reports To: Director of Events
Classification: Exempt
Compensation: Annual Salary of $67,000
Essential Duties & Responsibilities:
- Ensures successful coordination of event activities by supporting the Event Managers in monitoring the status of all event-related activities
- Meets with clients and external vendors, and communicates back to internal teams
- Assists in the preparation of events by interpreting and explaining facility policies and procedures, cost estimates, and final invoices
- Provides clear, concise, and timely communication of event details to internal departments
- Verifies that event spaces have been set according to client specifications
- Collects event-related information, and produces documents and files for archival purposes
- Presents event related information to internal departments at production meetings
- Develops and maintains a harmonious working relationship with all clients, external vendors, third-party contractors, internal departments, and other stakeholders
- Provides support to Event Managers and their assigned events as needed
- Provides administrative and onsite support to the Guest Services Manager as needed
- Provides support to other Toyota Arena teams as needed and when possible
- Works extended/irregular hours including nights, weekends, and holidays as needed
- Performs other duties as assigned
Qualifications:
- Basic knowledge of event management, planning, and logistics
- Basic knowledge of or ability to learn event principles, including life safety, fire code, first aid, and best practices
- Basic knowledge of or ability to learn software including event management programs, and event diagramming software
- Basic knowledge of or ability to learn industry terminology, venue capabilities, and logistical requirements for the types of events anticipated at the venue
- Ability to handle multiple events, projects, tasks, and other deadlines simultaneously
- Ability to follow guidance while exercising good judgment, problem-solving, and initiative
- Must organize and prioritize work to meet event deadlines, work effectively under pressure, produce accurate results, and remain flexible in a changing environment
- Prior experience in Sports and Entertainment is a plus
- Must meet the physical demands of the job
- Must possess a valid California Driver’s License (DMV)
Education & Experience:
- High school graduate or GED certificate required
- Associate’s or bachelor’s degree from an accredited college or university in event management, hospitality, sports management, or related field preferred but not required
- 2+ years related experience and/or training or equivalent work experience preferred but not required
- Customer service experience preferred but not required
- Bilingual in Spanish preferred but not required
Computer Skills:
- Operate a personal computer using Windows, Microsoft Office, and other standard office equipment
- Knowledge of event management programs, event diagramming programs, and other venue-related software
- Must have strong computer skills and the ability to learn new software
- AutoCAD experience preferred but not required
