Job Description

Primary Responsibilities

  • Perform secretarial functions associated with firm administrative tasks, including processing new client/matter requests, engagement letters, conflict checks, client bills, time reports and expense reports.

  • Format and edit a wide variety of legal documents, including pleadings, motions, subpoenas, discovery, etc. This includes proofreading and redlining work for accuracy.

  • E-file in state, federal and appellate courts, utilizing knowledge of local rules and procedures for filing and calendaring.

  • Assist in supporting depositions, arbitrations, mediations, and trials.

  • Demonstrate excellent organizational skills to efficiently manage case files, calendars, and travel.

  • Top-notch communication skills, poise, and professionalism, which are vital for interactions with clients and members of the firm’s legal staff.

  • Maintain highly confidential information, files, records, legal documents, and reports.

  • Possess a positive attitude, be proactive, flexible, and a team player.

  • Utilize and maintain documents in the firm’s electronic document management systems.

  • Prioritize needs based on urgency, multi-task, and work in a fast-paced, team-orientated environment.

Qualifications

  • 5+ years of litigation secretary experience in a large law firm setting and a solid understanding of the litigation process

  • Knowledge of online court filing systems

  • Skilled with use of electronic document management systems

  • Exceptional written and verbal communication skills

  • Excellent attention to detail

  • Proficiency with Microsoft Office suite and Adobe Acrobat

  • Strong organizational skills

  • Ability to work overtime, when needed.

Preferred Qualifications

  • Bachelor’s degree or Legal Secretary Certificate

  • Knowledge and or experience in using NetDocs, Intapp Time and Chrome River

  • Experience working with multiple lawyers simultaneously

  • Ability to work both independently and as part of a team.

Qualified applicants with arrest and conviction records will be considered for the position in accordance with the California Fair Chance Act.

The California Pay range for this role, with final offer amount dependent on skillset and experience is $95,000-$115,000.
