The incumbent will support the administration and operations of the Master of Business Administration and Specialised Masters programme, including academic administration, student engagement activities, events management, and stakeholder coordination. The role involves working closely with faculty, students, alumni, vendors, and internal departments to ensure smooth programme delivery and a positive student experience.
Key responsibilities include:
Manage administrative, operational, and logistics matters for student activities, programme events, and engagements.
Coordinate programme-related events, including venue setup, catering, transportation, registration, and onsite support.
Respond to student-related enquiries in a timely and professional manner.
Support day-to-day programme administration and operations.
Provide faculty and instructor support, including appointments, approvals, agreements, payments, classroom arrangements, and teaching-related requests.
Support timetabling, course administration, examinations, and related academic operations.
Process student reimbursements, monitor student activities budgets, and prepare budget utilisation reports.
Compile, collate, and maintain accurate data, records, statistics, and reports for management reporting and audit purposes.
Liaise and coordinate with students, faculty, alumni, vendors, and internal departments to ensure smooth operations and follow-through.
Procure operational and event-related logistics and services in accordance with university procedures.
Support other programme-related projects, operational duties, and administrative tasks as assigned.
Requirements:
Bachelor’s degree with at least 3 years of relevant working experience, preferably in student administration, programme management, or event management within a higher education institution.
Strong organisational, coordination, and administrative skills with attention to detail.
Good understanding of event planning, operational logistics, and programme administration.
Customer service-oriented with strong interpersonal and stakeholder management skills.
Meticulous, systematic, and able to manage multiple priorities effectively in a fast-paced environment.
Proactive, resourceful, adaptable, and able to work independently with minimal supervision.
Strong planning, multitasking, project coordination, and problem-solving skills, with the ability to exercise sound judgement during unexpected situations or operational challenges.
Good team player with a strong sense of responsibility and ownership.
Proficient in Microsoft Office applications (Excel, PowerPoint, Word, Outlook, Teams, Canva).
Good written and verbal communication skills to communicate effectively with stakeholders.
Strong interpersonal and stakeholder engagement skills and comfortable engaging with diverse stakeholders.
Willing to support occasional evening and weekend activities when required.
Willing to travel overseas with students for up to one week annually.
