Job Description:

Position Summary:

The Transfer Support Administrator provides business support and operational enablement for the Transfer organization. This role serves as a transfer resource for internal teams by answering process questions, supporting escalations, maintaining SOPs and knowledge articles, completing basic reporting, and assisting with high-level reconciliation tracking.

This role requires strong working knowledge of incoming and outgoing transfers, ACAT, non-ACAT, DTC, asset transferability, and cost basis, with a focus on accuracy, consistency, customer service, and timely internal support.

We can consider candidates for this position who are able to accommodate a hybrid work schedule and are close to our Phoenix, AZ office.

Responsibilities:

  • Provide day-to-day support for transfer-related questions, issue resolution, and process guidance for internal teams and business partners.
  • Respond to Salesforce inquiries, internal emails, support requests, and transfer process questions from cross-functional teams.
  • Support transfer-related escalations by researching issues, identifying next steps, providing guidance, and partnering with appropriate teams to resolve open items.
  • Serve as a subject matter resource for common transfer scenarios, including incoming and outgoing transfers, ACAT, non-ACAT, DTC, asset transferability, and cost basis.
  • Complete basic reporting related to transfer support activity, open items, recurring questions, and operational trends.
  • Assist with high-level reconciliation support by tracking known breaks, identifying aging or recurring items, and escalating issues to the appropriate owner.
  • Maintain and update SOPs, knowledge articles, job aids, procedural documentation, and internal reference materials to ensure content remains accurate, current, and aligned with Transfer processes.
  • Identify recurring questions, documentation gaps, process gaps, and knowledge gaps, and translate findings into updates to SOPs, knowledge articles, job aids, or internal guidance.
  • Support process consistency by helping internal teams understand transfer requirements, procedural expectations, and appropriate handling of transfer scenarios.
  • Assist with communication, testing, and validation activities related to transfer process, workflow, or system changes.

Required Qualifications:

  • Bachelor’s degree or equivalent work experience, plus 2-3 years of Transfer, brokerage operations, financial services operations, or equivalent industry experience.
  • Strong working knowledge of Transfer processes, including incoming and outgoing transfers, ACAT, non-ACAT, DTC, asset transferability, and cost basis.
  • Experience supporting internal teams through operational questions, escalations, Salesforce cases, shared inboxes, or similar support channels.
  • Ability to research issues, interpret procedures, identify next steps, and communicate clear guidance to cross-functional partners.
  • Experience maintaining or updating SOPs, knowledge articles, job aids, procedural documentation, or internal reference materials.
  • Ability to identify recurring questions, support trends, documentation gaps, or escalation themes and translate them into practical documentation or guidance updates.
  • Strong attention to detail, organization, and judgment, with the ability to manage multiple priorities, complete basic reporting, track open items, and escalate risks or unresolved issues appropriately.
  • Proficiency with Microsoft Excel, Word, Salesforce, and internal workflow or case management tools.

Preferred Qualifications:

  • Subject matter expertise in Transfers, cost basis, asset transferability, ACAT, non-ACAT, DTC, and investment industry operations.
  • Experience supporting high-level reconciliation review, break tracking, aging item follow-up, or escalation of reconciliation issues.
  • Experience supporting process consistency, operational readiness, business enablement, or system/workflow change activities.
  • Familiarity with operational controls, audit support, or regulated financial services processes.

Compensation: The Base Salary range for this position is between $60,000-$75,000.  

 

This information reflects a base salary range that AssetMark reasonably expects to pay for the position based on a number of factors which may include job-related knowledge, skills, education, experience, and actual work location. This position will also be eligible for additional variable incentive compensation and competitive benefits.
