As a Team Support Specialist, Pharma Poland, within our Commercial Pharma Poland team, you'll provide comprehensive administrative and operational support that enables our commercial team to achieve business objectives and maintain smooth internal and external communication. You'll be the organisational backbone of the team, coordinating everything from calendars and events to budgets and cross-functional projects. Ready to get started?

Main responsibilities:

  • Coordinate calendars, organise meetings, and manage correspondence for the commercial team
  • Prepare reports, presentations, and documentation while operating internal systems (SAP, CRM, Veeva)
  • Coordinate purchasing and settlement processes, including orders, invoices, and business trip arrangements
  • Monitor team budgets, prepare cost summaries, and support the onboarding of new employees
  • Organise events, training sessions, and team meetings, including conference cycles
  • Collaborate with cross-functional departments (Marketing, Medical, Finance, HR, Legal) and support communication with key external stakeholders
  • Coordinate logistics of promotional materials and samples
  • Participate in projects to improve commercial department processes and proactively identify optimisation opportunities

About you

Experience:

  • Minimum 1 year of experience in a similar position, preferably in the pharmaceutical or FMCG industry
  • Experience working in a corporate environment

Soft and Technical Skills:

  • Very good knowledge of the MS Office suite (Excel, PowerPoint, Outlook, Teams)
  • Knowledge of ERP systems (SAP) and CRM systems (e.g., Veeva) is an asset
  • Excellent organisational and time management skills with close attention to detail
  • Proactive and independent approach with the ability to work under pressure and set priorities
  • Strong communication skills and ability to build relationships
  • Discretion and ability to maintain confidentiality

Education:

  • Higher education (preferred fields: administration, management, economics)

Languages:

  • Polish – fluent (native)
  • English – communicative in speaking and writing
