Job Summary:

International Student & Scholar Services (ISSA) supports the international student experience at Rhode Island School of Design (RISD) in regards to: immigration compliance, navigating U.S. systems and language and culture adjustment. ISSA manages the F-1 and J-1 immigration compliance on behalf of RISD and in accordance with the U.S. Department of Homeland Security regulations.

In support of the Office of International Student & Scholar Affairs, the Administrative Coordinator (temporary position) will be responsible for supporting all staff in ISSA by managing calendars, meetings and appointments, running some logistics for any programs/events facilitated by ISSA and, if eligible, provide general updates in the SEVIS database. In addition, they will oversee the main office area, co-supervise work-study student employees, and provide a high level of customer service to the international student community at RISD.

Essential Functions:

  • Responsible for completing a wide variety of administrative and logistical functions for the office, including, but not limited to filing, ordering supplies, answering the telephone, distributing mail, and managing office calendars and the ISSA email account.

  • Provide logistical support and planning for programs, events and workshops (room bookings, ordering food, arranging for travel, processing payments, coordinating speakers, etc.).

  • Oversee the front desk area for ISSA and respond to basic inquiries from students. Must be in the office every day, in-person (Mon-Fri 8:30am-4:30pm). This position is not hybrid/remote.

  • Perform general maintenance of student records, both paper and electronic; update forms and documents.

  • Compose and distribute routine letters, memoranda, correspondence.

  • Perform general updates in the SEVIS (Student & Exchange Visitor Information System) database as a DSO (Designated School Official, if and only if the person is a RISD employee, and meets requirements for access to SEVIS records) to help maintain compliance on behalf of the institution in accordance with the US Department of Homeland Security regulations. 

  • Support administration functions in TerraDotta software - sorting requests, emailing students if requests are incorrect or there are duplicates, etc.

Required Knowledge/Skills/Experience:

  • Associate degree or equivalent combination of education and experience.  

  • Prior exposure to and/or experience with international education or an academic environment preferred. 

  • Demonstrated success using technology to meet the needs of a complex operation.

  • Successful record of working effectively with data management systems. 

  • Experience in international education or living, working or studying abroad is a plus.

  • Ability to track and monitor budgets. 

  • Must have strong analytical and logistical coordination skills. 

  • Highly developed computer skills and working knowledge of office computer applications. 

  • Experience working with sensitive data requiring a high attention to detail and accuracy in a regulatory or compliance-driven environment.

  • Experience with SEVIS (Real Time Interactive—RTI), TerraDotta, ERP, or content management systems (such as Workday, PaymentWorks, etc.) is a plus.

  • Must be US Citizen or Lawful Permanent Resident to meet federal regulatory requirements for professional practice as Designated School Official or Alternate Responsible Officer.
