Job Description:

The clinical training coordinator (Emiratization) will:

  • Inform and support Middle East and Africa customers about the trainings related with the safe and efficient use of applicable Varian Business MedOnc and radiotherapy systems.

  • Organize and maintain exact record of the MEA Clinical Application Specialist Team customers activities and schedule to ensure that customers can operate Varian Business equipment according to their clinical needs, with the highest level of satisfaction and in line with any technical or safety policies.

Major responsibilities:    

  • Maintain a high-quality professional communication (Phone – remote meeting - emails) with customers to inform them on the trainings of the newly installed Varian Business products.

  • Read, answer and store emails communications regarding training with all customers.

  • Manage the Clinical Application Specialist schedule on Dispatch and create Work Orders

  • Maintain reporting and admin aspects by means of time sheets, expense reports, training reports etc. to ensure accurate company statistical data on customer-oriented activities is available and current.

  • Create, archive and store the Training Overview Report for all customers.

  • Manage Outlook remote meetings and trainings appointments for customers, supervisor, and Clinical Application Specialists

  • Assist customers how to register online to Varian Online Platform (MyVarian) Varian Classrooms, Clinical Schools and Varian Online Learning Platform (VarianThink)

  • Create and maintain Customers Clinical Operations Overview and Cases in Sales Force (UNITY)

  • Maintain customers training timeline records.

  • May Assist into Workshop event organization (Select hotels, book meeting rooms, reserve hotel rooms, rent computers)

  • May also provide support in Africa and Middle East at customer trade events.

  • Contribute to develop tailored processes regarding training programs status from customers.

  • Provide support with the internal training of other Varian Business colleagues, where needed.

  • Notify helpdesk when customers need clinical or technical support to ensure that their enquiries are always addressed in a timely manner.

  • Maintain competencies and Varian Business trainings in an on-going and timely manner. e.g. Learn4U certifications, internal or external training courses.

  • Attend Health & Safety training to gain and maintain a sound knowledge and systematically apply national laws and Varian Business regulations on health & safety in the workplace environment.

  • Perform other duties as assigned.

Minimum Required Skills and Qualifications

  • Educational requirements: Business School Degree/diploma or equivalent.

  • Fluency in Arabic and English, both written and spoken.

  • Thorough understanding of customers and their requirements

  • Good knowledge of Microsoft Office (Outlook – Word – Excel – Power Point)

  • Be mature and have excellent communication skills.

  • Must be highly self-motivated and able to perform day-to-day work with little or no direct supervision, whilst still maintaining good integration to working with the wider team.

  • Be highly organized and able to handle multiple on-going projects.

  • Able to deliver consistently good results and adapt to working a changing environment.

  • Be able to resolve problems creatively.

  • Be willing to work, within normal and non-normal hours (as needed) in order to best support customers.

  • Be willing to travel occasionally as needed.

Other Desired Skills and Knowledge

  • Relevant prior professional experience in a clinic or hospital.

  • Having a clinical expertise and good knowledge of methods and processes used in Radiotherapy or chemotherapy.

  • Good understanding of French, both written and spoken is a plus.
