Summary:

As the Senior Administrative Assistant supporting the Vice President of Marketing and Marketing/MedEd leadership team, you will play a key role in keeping the business organized, connected, and operating efficiently. This role goes beyond traditional administrative support by partnering closely with leadership to manage priorities, coordinate meetings and events, support communications and presentations, and drive operational effectiveness through proactive problem-solving, collaboration, and process improvement. Success in this role requires strong judgment, adaptability, attention to detail, and the ability to operate with a high level of ownership and professionalism across a highly matrixed organization.

What You Will Do:

  • Provide high-level administrative support to the Vice President of Marketing and Marketing/MedEd leadership team, including complex calendar management, meeting coordination, and domestic/international travel planning
  • Coordinate and execute leadership meetings, offsites, and customer-facing events, including agendas, logistics, pre-reads, materials, distribution lists, and follow-up actions
  • Manage travel arrangements, visas, meeting schedules, appointments, expense reporting, invoice processing, and budget tracking for assigned leaders
  • Create, compile, and format presentations, reports, communications, and meeting materials while supporting data gathering and content organization for leadership initiatives
  • Act as a trusted business partner and extension of leadership by communicating professionally across senior stakeholders, cross-functional teams, and executive assistants
  • Drive operational efficiency and continuous improvement by leveraging technology, AI tools, and systems-thinking approaches to streamline workflows and enhance team effectiveness
  • Support team culture and engagement initiatives through coordination of recognition activities, leadership events, and collaborative team experiences
  • Operate with a high level of ownership, discretion, adaptability, and professionalism in a fast-paced, highly matrixed environment requiring proactive decision-making and strong attention to detail

What You Need:

Required:

  • High School Diploma or Equivalent
  • 3+ year’s experience supporting Senior Leadership in a similar capacity
  • Experience with Microsoft Office programs

Preferred:

  • Associate or bachelor’s Degree

  

 

$29.42 - $40.69 USD Hourly

  

 

Travel Percentage: 10%
