Required – Medical Assistant certification or one (1) year experience providing medical assistance in an office setting.

Critical Action Items & Measurable Deliverables: 

1.    Meet and maintain all federal and state regulatory guidelines and standards applicable to this position.
2.    Communicate effectively with health care providers regarding care for service population and be a liaison between the medical and residential services divisions.
3.    Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedural manuals.
4.    Ability to write routine reports and correspondence.
5.    Ability to speak effectively before groups of foster parents, children, stakeholders, community providers or employees of organization.
6.    Ability to work with a team and have the ability to implement team strategy approaches to work assignments.
7.    Ability to work with computers and the necessary software typically used by the department.
8.    Serves as backup for administrative assistants. Performs duties such as case filing, records requests, front desk coverage and purchasing supplies.
9.    Participates in monthly Foster Care Support group and other Compass Connections foster care events for children and families.
10.    Maintain first aid kits per licensing standards.
11.    Maintain confidentiality of health care records and information in keeping with HIPAA, Protected Health Information (PHI) requirements and Compass Connections confidentiality protocol and procedures.
12.    Adhere to scheduled hours pertaining to position. Know, understand, and apply positive behavior management techniques including verbal redirection, de-escalation, and containment.
13.    Participate in scheduled meetings and in team decisions and operations.
14.    Plan, organize, and prioritize daily work using sound judgment.
15.    Maintain confidentiality in all areas of the service population and program operations.
16.    Maintain Compass Connections professional and ethical standards of conduct outlined in Compass Connections employee handbook including demonstrating respect for agency staff, children, and community members and complying with required dress code at all times.

Other Responsibilities:

1.    Perform all administrative duties or designated site(s) in accordance with Compass Connections, ORR and state policies and procedures.
2.    Maintains communication and coordinates services with Compass Connections medical clinics and staff as well as other community medical, mental health and dental providers.
3.    Completes accurate documentation of activities performed in accordance with agency policies and procedures, contract and regulatory requirements and standards and program timeline requirements.
4.    In charge of all TAR billing for program. Contacts providers to inform them of the billing process, to verify acceptance of payment and then processes TAR payment request through federal TAR payment system.
5.    Submits bills received to the federal TAR payment system within 48 working hours of receipt of bills.
6.    Notifies foster parents and case managers of appointments that have been scheduled or that are needed.

7.    Keeps track of appointments that need to be scheduled in the future for follow up and informs appropriate parties when these appointments are due/scheduled.
8.    Keeps track of prescription information and refills for children.
9.    Communicates with foster parents and case managers on a daily basis in order to ensure medical needs of children are priority and met quickly.
10.    Maintains records and tracking of information needed for ORR quarterly and annual reports.
11.    Submits case notes into Salesforce database system identifying services received by individual children in care.
12.    Maintains medical statistical data and completes billing process and provides accurate medical insurance information to contracted medical providers.
13.    Processes and archives medical record requests for medical information.
14.    Initiates and processes medical referral and transportations requests.
15.    Assists with staff and client education and training.
16.    Attends all staff meetings.
17.    Meets all pre-determined deadlines required by program and federal partners.
18.    Foster Care Programs - Support, encourage, and recruit foster parents.

Requirements

1.    Pass a pre-employment drug screen and random drug screens throughout employment.
2.    Provide proof of work eligibility status upon request.
3.    Pass a pre-employment and biennial criminal background checks.
4.    Must possess a valid driver’s license.
5.    Demonstrate effective organizational and communication skills.
6.    Demonstrate textbook knowledge of health services procedures relevant to the position.
7.    Demonstrate the ability to:
a.    Respond sensitively and competently to the service population’s cultural and socio-economic characteristics.
b.    Work collaboratively with other staff members, service providers and professionals.
c.    Work in a fast-paced environment and maintain emotional control and professional composure at all times.
d.    Maintain computer literacy required to meet the responsibilities of the position.
e.    Work effectively and without intensive supervision both independently and as a member of a multidisciplinary team.
8.    Demonstrate a working knowledge of all Compass Connections policies and procedures.
