The Project Coordinator is responsible for supporting the successful development of interactive web-based solutions, working closely with cross-functional, multi-project teams to ensure deliverables are completed on time and on budget, according to defined scope, timeline, and cost parameters. They will assist in developing plans, schedules, and oversight of all project activities toward these objectives, applying technical, theoretical, and managerial skills to meet project requirements while fostering strong professional relationships. This person will be in charge of the Trailhead Program: the starting point of the epic journey at Critical Mass for new talent. During their initial 12 weeks, participants embark on a custom-built learning path to understand what we do, who we are, and how we create award-winning work with our clients. Our goal is to integrate them into the amazing work we do at Critical Mass and support them as they grow their careers with us.

You Will:

• Assist in development, maintenance and execution of project plans throughout the life of assigned project(s)
• Contribute to continual process and people management innovation, supporting effective delivery of solutions
• Assist in establishing clear project parameters supporting the success of all internal and client team members 
• Provide and promote high standards of professionalism and leadership throughout the life of projects, both within and outside the organization, appropriately representing Critical Mass’ business philosophies, protocols and standards
• Assist in creating and maintaining a project schedule, which defines activities, sequence, dependencies, work effort, duration and associated resource requirements
• Assist in forecasting, tracking and managing project budgets, purchase orders and invoices
• Assist in acquiring appropriate resources to meet project needs
• Assist in planning and managing internal and external project communications, ensuring effective exchange of project information and deliverables
• Assist in identifying, analyzing, prioritizing, mitigating and communicating project risk

You Have: 

• Exceptional attention to detail and organizational skills; able to effectively prioritize tasks in fast-paced, cross-functional environments.
• Clear and confident communication, both written and verbal, with the ability to interface across multiple disciplines and flag risks or blockers early.
• Comfortability using and experimenting with AI tools (e.g., ChatGPT, Gemini, Copilot) for daily tasks such as summarizing content, drafting communications, automating research, or analyzing data, and can articulate how AI tools enhance productivity and output quality.
• A strong sense of ownership and initiative; consistently raises their hand to take on more responsibility and proactively drive work forward without waiting for direction.
• Ability to adapt quickly to change; and you thrive in evolving environments with shifting priorities and fast turnaround times.
• Strong critical thinking and problem-solving skills
• Comfortability calling out risks, asking thoughtful questions, and pushing for clarity or alignment when needed.

• Experience or exposure to using scheduling or project management tools (e.g., Asana, Smartsheet, Trello, Outlook) and comfortable learning new platforms as needed.
