We are looking for a Senior Facilities Manager for our Integrated Facilities Management business line.

Role Purpose

The Senior Facilities Manager (SFM) is responsible for ensuring a high level of client satisfaction within their areas of responsibility and support the local team. Delivering key initiatives as well as ensuring consistency in processes and operational in Facilities Management delivery. Driving a superior service resulting in client satisfaction across their buildings

What this job involves

  • Client/Stakeholder Management
    • Deliver excellent customer service to meet client expectations
    • Build and develop effective relationships with key stakeholders &/or client and be comfortable working across all levels
    • Monitor procedures to ensure client’s expectations are conveyed and worked upon
    • Act as the lead point of contact for site delivery
    • Attend regular meetings with Clients/Stakeholders

People Management

  • Manage contractor performance, including allocating resource, delegating workload, and ensuring adherence to best practice.
  • Actively encourage an environment that supports teamwork, co-operation, and performance excellence within team
  • Assist in mentoring and enabling Training & Development of team members
  • Chair weekly operations meetings: ensuring minutes are taken and distributed
  • Utilise Workday in relation to Performance Management and Development Plans

HSE, Security & Quality Management

  • Ensure that all defined services are completed in accordance with all operating procedures, statuary requirements, and within the Health and safety guidelines.
  • Ensure compliance with statutory regulations on fire, health, and safety standards
  • Understand & actively support JLL’s Quality Management program
  • Build an effective relationship with Client Functional Teams (GRE, GSI, HSE)
  • Ensure audit compliance across CMO/Playbook

Procurement & Vendor Management

  • Ensure that contracted resources deliver work to meet quality targets, addressing and ensuring the correction of under-performance issues.
  • In conjunction with the sourcing team, manage contracts to assure high quality and cost-effective services
  • Chair monthly meetings with Key Service Partners
  • Regularly review contractual agreements and identify potential cost savings
  • Ensure full compliance with on-site permit system

Financial Management

  • Manage processing and controlling of purchase orders, invoices, and work orders.
  • Assist and monitor financial processes to ensure account payable procedures are followed at all times
  • Supporting the preparation of forecasts & financial reporting
  • Attend monthly budget meetings (where required)
  • Ensure regular review of GRNV and Forecasting

Site Operations Management

  • Ensuring Site Inspections are carried out. Issues highlighted through site inspections
  • Support the completion of all account required reports and documentation to meet specified deadlines.
  • Seek ways to reduce costs and improve operational standards
  • Act as point of contact for security/alarm responding
  • Deputise for the Facilities Manager when appropriate.

Risk Management

  • Adhere to JLL’s business conduct by ensuring compliance with the firm’s guidelines, procedures, and strategies
  • Assist in the collation and preparation of FM Audit and reporting documentation
  • Assist in the implementation and management of property risk management program
  • Support the implementation and monitoring of disaster recovering and business continuity plans
  • Follow established escalation procedures and incident reporting procedures
  • Achieve Key Performance Indicators and Service Level Agreement targets

Key Skills

  • Technical / operational  knowledge of  critical infrastructure i.e. UPS’s , HVAC, Fire Life Safety systems etc.
  • Excellent organisational and communication skill (both written and oral)
  • Excellent people skills and ability to interact with a wide range of stake holders both internal and external
  • Excellent time management and ability to meet multiple deadlines
  • Team player, hard Worker, good interpersonal skills, ability to communicate well in both oral and written reports
  • Proficient in English language both verbal and written.
  • Customer focus
  • Ability to manage both hard and soft services delivery teams and vendors
  • H&S focus

Experience

  • A strong understanding of technical operations and service delivery
  • Previous experience in working with moves and changes, office fitout and relocations is desirable.
  • Previous experience in managing multi-disciplinary teams responsible for hard and soft service delivery.
  • Previous experience in use of CAFM / Helpdesk system
  • Minimum 3 – 5 years’ experience in a facility management role ideally within financial sector
  • Ability to work autonomously and as part of a multi-functional team
  • Ability to work within a fast-paced environment
  • Highly disciplined and strong attention to detail
