Job Title: 1LOD Governance Minute Taker

Location: Edinburgh

Role Description 

The Governance Minute Taker will be responsible for accurately capturing and recording the proceedings of governance meetings, including committee meetings, and other official gatherings. This role ensures that all minutes are clear, concise, and reflect the decisions and actions agreed upon during meetings.

Specific Role Responsibilities  

Meeting Preparation:

  • Coordinate with meeting organisers to ensure agendas and relevant documents are distributed to attendees in advance.

  • Review agendas to understand the context and objectives of each meeting.

Minute Taking:

  • Attend governance meetings (in-person or virtual) and take comprehensive notes on discussions, decisions, and action items.

  • Ensure that minutes are accurate, impartial, and clearly reflect the key points of discussion, decisions made, and assigned action items.

  • Record attendance and any declarations of interest made during meetings.

Post-Meeting Duties:

  • Draft and circulate minutes to meeting participants for review and approval within an agreed-upon timeframe.

  • Revise and finalise minutes based on feedback from participants.

  • Maintain an organised archive of all minutes and related documents, ensuring they are easily accessible for future reference.

Compliance and Confidentiality:

  • Ensure that all minutes comply with legal, regulatory, and organisational standards.

  • Maintain confidentiality of sensitive information discussed during meetings.

Support to Governance Team:

  • Assist in the preparation of meeting materials, such as agendas, reports, and presentations.

  • Provide general administrative support to the governance team as needed.

Functional Area Responsibilities 

  • Attention to Detail - Ability to accurately capture key points of discussion and decisions without omitting important information.

  • Time Management - Ability to meet deadlines for the distribution of draft and final minutes.

  • Confidentiality -  Maintain discretion and protect sensitive information.

  • Communication - Strong written and verbal communication skills to interact with executives, and other stakeholders effectively.

  • Organisation -  Highly organised with the ability to manage multiple meetings and tasks simultaneously.

  • Adaptability -  Ability to work in a fast-paced environment and adjust to changing priorities.

Experience required 

  • Previous experience in minute-taking, particularly in a financial Service or Fintech firm.

  • Familiarity with corporate governance principles and practices is an advantage.

  • Strong command of written English and excellent grammar skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

  • Good stakeholder management and communicating and influencing skills.

  • Experience working in a role where excellent attention to detail was required.
