Serves as a liaison in managing the interaction with physician offices and physician staff related to surgical cases. Takes a lead role in establishing and enhancing the relationship with physicians and physician offices. Serves as the OR's primary point of contact when issues arise related to OR scheduling and utilization. Performs various administrative functions within the department. A Brief Overview
Responsible for coordinating and scheduling surgical cases in the Surgical Block Schedule. Serves as a liaison in managing the interaction with physician offices and physician staff related to surgical cases. Takes a lead role in establishing and enhancing the relationship with physicians and physician offices. Serves as the OR's primary point of contact when issues arise related to OR scheduling and utilization. Performs various administrative functions within the department. What you will do
  • Effectively schedules surgical cases in the Surgical Block Schedule. Publishes the OR schedule daily and documents specific data related to surgical cases.
  • Coordinates and assists physicians, physician’s office staff, patients, and hospital departments with scheduling of surgical procedures.
  • Collects pertinent data required for scheduling of elective surgical procedures.
  • Verifies availability of equipment, imaging and specialty equipment to ensure equipment availability and avoid conflicts.
  • Prepares surgical schedule and distributes to appropriate departments daily.
  • Schedules appointments for patients requiring pre-admission work ups.
  • Serves as a liaison between the physician offices and physician staff related to surgical procedures. Contacts physician office and refers decision to physician when questions regarding deferring or rescheduling occur.
  • Resolves problems and answers questions regarding scheduling surgical cases and specialty equipment needs.
  • Notifies leadership when issues develop requiring next level of decision making.
  • Performs various administrative functions within the department by answering and responding phone calls and maintaining files.
  • Acts as a backup to the staffing coordinator when needed.
  • Attends and conducts daily meetings involving nursing administrative staff to discuss staffing issues, scheduling needs and debrief on surgery issues and outcomes.
  • Demonstrates professional work behavior and excellent customer service routinely in all interactions.
  • Performs other duties as assigned or requested.

Education/Formal Training Requirements
  • Required - High School Diploma or Equivalent

Work Experience Requirements
  • Required - Scheduling 1-3 years

Knowledge, Skills and Abilities
  • Medical terminology preferred.
  • Ability to plan and schedule tasks and to maintain control of own workflow.
  • General PC skills.
  • Excellent written, verbal and interpersonal skills to effectively and cordially communicate with a range of highly skilled medical professionals, patients and visitors.
  • Requires attention to detail and ability to think through routine to moderately complex situations
  • Must maintain confidentiality of personal and sensitive data.
  • Ability to work without close supervision and to exercise independent judgment.

  • There are no supervisory or lead responsibilities assigned to this position

Physical Demands
  • The physical activities of this position may include climbing, pushing, standing, hearing, walking, reaching, grasping, kneeling, stooping, and repetitive motion.
  • Must have good balance and coordination.
  • The physical requirements of this position are: light work - exerting up to 25 lbs. of force occasionally and/or up to 10 lbs. of force frequently.
  • The Associate is required to have close visual acuity to perform an activity, such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; or extensive reading.
  • The conditions to which the Associate will be subject in this position: The Associate is not substantially exposed to adverse environmental conditions; job functions are typically performed under conditions such as those found in general office or administrative work.
