The Travel & Expenses Associate is responsible for providing support to all users by email and telephone according with the company policy for all ConvaTec entities. Will be responsible for managing T&E mailbox, auditing expenses, training employees, enforcement of policy, corporate credit card management and execute controls to identify any system interface issues or any discrepancy. Will be interacting with different departments and supporting different business units throughout the organization.
Key Responsibilities:
Provides support to our end users, in questions related to expense submission and reimbursement process, over the phone and by email.
Manage Travel & Expense (T&E) system including administrative and maintenance tasks.
Provide end-user support by troubleshooting and resolving system-related problems, such as login issues, expense report errors, and workflow approval processes.
Manage the administration and user support for our corporate card program, ensuring timely card issuance, monitoring, and cancellation as per company policies.
Prepare detailed Excel reports and present findings to management.
Develop and maintain documentation regarding training materials and standard operating procedures.
Liaise with internal and/or external auditors to provide documentation as required.
Audit expense reports in accordance with company policy.
Maintain standards of confidentiality with respect to all matters and documents.
Other duties as required or assigned.
Skills & Experience:
Bachelor’s degree in business administration, Finance, or a related field (or equivalent work experience).
Excellent communication skills in English, both verbal and written, with the ability to communicate effectively with stakeholders at all levels.
Customer service mindset with the ability to provide exceptional support to end-users.
Strong attention to detail and ability to handle multiple priorities in a fast-paced environment.
Ability to adapt quickly to new technologies and process changes.
Strong analytical and problem-solving skills, with the ability to interpret complex data and provide actionable insights.
SAP experience desired but not essential.
Travel Requirements:
Position may involve travel up to 10% of the time, mostly within Europe but overseas travel is expected. Most trips will include overnight travel.
