The Administrative Program Coordinator II is responsible for coordinating APPs onboarding by preparing and sending letters of intent and ensuring all required onboarding documentation is completed and submitted, including licensure applications. This critical role supports our APPs and ensures the operational effectiveness of the Department of Emergency Medicine. The ideal caregiver must possess strong Microsoft Office skills, especially in Excel for pulling data and creating pivot tables. The Administrative Coordinator must communicate effectively with leadership, be detail-oriented, and work well both independently and as part of a team.

A caregiver in this position works days from 8:00 a.m. – 4:30 p.m. with the possibility to work remotely one day per week after the training period.

A caregiver who excels in this role will:  

  • Support all primary Directors, Managers, and APPs in daily administrative and operational functions.  
  • Coordinate and manage the onboarding process for new APPs within the department.  
  • Maintain accurate and up-to-date records for hundreds of APPs, ensuring all onboarding paperwork, required credentials, and compliance documents are complete.  
  • Serve as the liaison between new hires and departmental leadership, facilitating clear communication and a smooth transition into the organization.  
  • Track and monitor APP licensures, certifications, and professional dues to ensure timely renewals and compliance.  
  • Assist with general administrative tasks, scheduling, and departmental communications.  
  • Ensure new APPs are informed about their assignments, schedules, and departmental expectations, providing a seamless onboarding experience for both providers and managers.  
  • Function as a liaison and administrative, technical and operational resource.   
  • Coordinate policy evaluation and implementation.   
  • Identify operational improvement opportunities to create an efficient workplace.   
  • Develop communications, databases and budget summaries.   
  • Lead orientation and records management activities and ensure standards are maintained.  
  • Develop and update interdepartmental education programs.  
  • Assist with the scheduling, coordination, preparation and communication of meetings.  
  • Communicate project status and requirements to achieve results.  
  • Research, analyze and organize information for presentations.  
  • Assist department leadership with large or complex projects.   ​

Minimum qualifications for the ideal future caregiver include:  

  • Associate’s Degree and three years of administrative or project management experience OR High School Diploma/GED and five years of experience OR Bachelor’s Degree and one year of experience 
  • Strong computer skills and experience with software applications 
  • May require a license based on department/institute needs 

Preferred qualifications for the ideal future caregiver include:  

  • Bachelor’s Degree in Business Administration, Healthcare Administration or a related field 
  • Healthcare or related organization experience 
  • Experience developing healthcare, financial or education programs 

Physical Requirements:

  • Ability to perform work in a stationary position for extended periods
  • Ability to operate a computer and other office equipment
  • Ability to travel throughout the hospital system
  • Ability to communicate and exchange accurate information
  • In some locations, ability to move to 25 pounds
