The Sarasota County Department of Libraries and Historical Resources is looking for an administrative assistant to help with a variety of exciting programs and services. This person will provide crucial support for our team by managing calendar listings for events, crafting social media content, editing print materials, assisting with communications between the department and our stakeholders and more.

This is an exciting time to join Libraries and Historical Resources. In the past five years, the department has inaugurated a new annual literary festival called Off the Page, plus a new mobile Pop-Up Library, and we are just months away from opening a new History Center and a renovated and expanded Fruitville Library. These improvements will greatly expand our role in making Sarasota County a great place to live, work, play and visit. About the Position

In this role, you will be responsible for...

Administrative Support

  • Assists in the creation, editing, processing, and posting of social media content, blogs, and other communication products.
  • Works closely with the department’s Marketing Coordinator to coordinate social media and other communication products.
  • Creates and manages calendar listings for departmental programs and events.
  • Assists in coordinating with Friends groups and other community stakeholders to promote departmental programs and events.
  • Design graphics for use in newsletters, social media, and other promotional materials, adhering to library branding and ADA accessibility standards.
  • Assists with research and data collection for use in departmental communications.
  • Proofreads and edits flyers and other marketing materials for proper style, branding compliance, and spelling accuracy.
  • Completes copying, filing, and mail distribution.
  • Prepares routine correspondence.
  • Responds to visitors’ inquiries received by email, phone call, or in person.

Customer Service

  • Represents Sarasota County to customers, volunteers, staff, and donors.
  • Implements standards of service that ensure the prompt and efficient resolution of inquiries and requests from internal and external customers, delivered with the utmost courtesy and respect.
  • Assists with routine public-facing operations, including reference services, meeting space management, and retrieving materials for customers.
  • Collects, maintains, and analyzes statistics, reports, and other metrics on various aspects of operations and services.

  Staff Development

  • Participates as a member in assigned short-term special projects and long-range strategic planning.
  • Participates in cross-training in other sections and aids in cross-training in own section.
  • Provides opportunities for continuing professional development of self and others, especially in acquiring relevant understanding and skills.

Other duties as assigned/required.

About the Schedule

Work Hours:

  • Full-Time, 40 hours per week.

  • Must be available to work: Sunday - Saturday, 8:00 a.m. - 8:00 p.m.

  • Work schedules may vary due to split shifts, rotations, on-call, emergencies, etc.

As a reminder, all county employees are considered essential and must be prepared to protect and support the community and its citizens. Each employee, without exception, will have a duty assignment and be required to work during a disaster or declared emergency.

About You

To be considered for the position, you must have the following:

  • High school diploma or its equivalent and 0 to 2 years of business, clerical, secretarial, and computer experience. 

  • Possess an aptitude and willingness to learn.

Preferred Qualifications:

  • At least one year of experience in a marketing/communications role preferred.

Subject to Passing Substance Screening:  This position is subject to passing a pre-employment substance screening.  An applicant who fails to pass a required drug screening test shall be disqualified from employment in any class for a period of five (5) years.

Fingerprint Screening:  This position is subject to a mandatory fingerprint-based background check per applicable federal, state, and/or local laws. The screening will be used to verify criminal history and other relevant information as permitted by law.  An applicant who fails to pass a required screening may be disqualified from employment.

About Everything Else

Starting Pay: $20.85, based on experience.
