What would you do? Plan and execute conversion projects for DB and DC retirement plans, including conversions from external and internal platform transfers
Manage plan conversions and internal DC-to-DC transfer projects, including participant and asset movement
Coordinate notices, blackout activities, and wire transfers in alignment with conversion timelines
Perform detailed mapping of participant, plan, payroll, and balance data between legacy systems and Client’s recordkeeping platforms
Conduct pre-conversion data reviews and audits to identify, reconcile, and correct data gaps, inconsistencies, or legacy structure issues
Execute data loads, bulk imports , and validation cycles well in advance of scheduled wire transfers
Verify all balances, sources, and applied wires for accuracy prior to asset movement
Support plan setup and employee record configuration once plan service agreements and documentation are executed
Ensure accurate configuration of plan provisions, eligibility, and investment structures
Perform fund mapping and investment lineup alignment, including troubleshooting exceptions
Use relevant tools such as Salesforce to track conversion milestones, documentation, and approvals
Partner with Underwriting, Sales, and Operations to obtain required documentation, signatures, and plan details
Share validated data and plan setup outputs with sales and internal stakeholders for final confirmation
Conduct trend and data analysis to identify patterns impacting reporting structures and conversion outcomes
Maintain documentation, audit trails, and adherence to internal controls and regulatory standards
Drive governance, reporting, and stakeholder communication, reviewing project plans with client and external partners, proactively managing inbox and requests, and providing regular status reporting on milestones, risks, mitigations, and action items.
Deliver consultative guidance on retirement services best practices, ensuring accurate setup of plan design, eligibility, pricing impacts, data exchanges, contracts, and transaction processing.
Partner closely with relationship management, account management, and internal teams to ensure seamless transitions and sustained operational stability.
Mentor and manage a team of analysts and specialists, promoting accountability, continuous improvement, and operational excellence.
What are we looking for? Functional expertise in U.S. retirement plans, including both Defined Contribution (DC), Defined Benefit (DB) schemes and IRA (Group Plan IRAs, SEP). Proven ability to manage end-to-end plan and participant level service delivery, lead high-performing teams, and drive operational improvements.
In-depth experience in conversion, ensuring accurate migration of plan, participant, and asset data from legacy recordkeepers onto Client’s internal recordkeeping platforms, while maintaining regulatory compliance, data integrity, and operational readiness.
Hands on with developing process documentation (SOP), capturing exceptions, process flow, process maps and NIGO rules.
Subject Matter Expert/ Trainer with 2+ years of experience in remote transitions, developing quality checklists, performing RCA, and developing action plans to improve quality performance.
Mandatory experience in 401(k) and/or 403(b) plan administration
Excellent verbal and written communication skills; Inbound and Outbound voice support experience required. Expertise in data mapping, validation, reconciliation, and fund mapping
