Summary of Job Duties:

The Program Coordinator will assist Division Director, Division Administrator and faculty as needed in the Division of Palliative Care.


Qualifications:

  • Bachelor degree in business administration or a related field plus two (2) years business administration experience OR Associate Degree PLUS four (4) years administrative or program coordination experience or High School PLUS six (6) years administrative or program coordination experience

Preferred Qualifications:

  • Medical office experience preferred.
  • Proficiency in Word, Excel and Outlook preferred.


Additional Information:

Responsibilities:

  • Serves as primary administrative support for the Director of the Hospice and Palliative Care including but not limited to, transcribes letters, manuscripts, reports and answering telephones. 
  • Preparing and delivering mail/Fed-Ex.
  • Assist with the planning, organizing, and coordinating of special projects, functions, meetings, and events. 
  • Arranges travel and meetings, and organizes itineraries for the Director of the Palliative Care Program and faculty.  
  • Maintains and manages the calendars of the Palliative Care Director and faculty.
  • Creates and updates (when necessary throughout the month) the monthly on-call schedule for the Division’s clinical faculty, fellows, residents, and rotating students on the consult service at both UAMS and CAVHS, distributing the schedule to both UAMS and CAVHS on-call managers, and inputting the schedule into the UAMS OnCall system.       

Administrative support Hospice and Palliative Care:

  • Arranges travel and meetings, and organizes itineraries, maintains and manages the calendars, transcribing, reports, coordinating special projects, planning and coordinating meetings and events.  Upkeep of QI metrics and joint commission spreadsheets and planning QI reports for the Palliative Care Committee, plan for TJC site visit, upkeep of Blackboard by uploading videos, articles, schedules. 
  • Upkeep of the evaluations and schedules and communications with the O2 online portal for the students.
  • Manages schedules for the rotating medical students and trainees, and send out bereavement cards (addressing envelopes.
  • Assists in training new administrative support staff. 
  • Responsible for being familiar with day to day routines of other Administrative staff in the Division of Hospice and Palliative Care. 
  • Assists with office duties for the division; such as answering the phone, ordering office supplies, special projects, files, makes copies, delivers and retrieves mail as well as distributing the mail, faxes correspondence, and performs related responsibilities as required or assigned.
  • Other duties as assigned.


Salary Information:

Commensurate with education and experience.
