Reporting of the role

This role reports to the Head of Workspace

Overview of job

The Workspace team is one of the cornerstones of Global, they are responsible for all operational aspects of our 30 something properties comprised of office space, broadcast studios and warehouses. What the Workspace team need now is a Property, Energy and Sustainability Manager to join the growing team and play a pivotal role in their transformation journey. The role will oversee and manage all property aspects from lease and contract management to property health and long term strategy aligning to the business growth and objectives.

Responsibilities of the role:

Property Management

Over see all property matters on behalf of Global ranging from but not limited to;

  • Define, create and manage a multi-year strategic plan making sure that it incorporates the requirements of the budget.

  • Provide cost-benefit forecasts for current and future years, aligning to the strategic priorities of the business.

  • Property health management – monitoring and managing the health of all properties.

  • Define and develop a portfolio structure to provide appropriate governance, control and management of programme and business-wide interdependencies.

  • Conduct regular reviews of the invested portfolio, challenge the status quo, and drive informed decision making around portfolio priorities.

  • Manage the review and approval process of the financial business case.

  • Define relevant, timely and accurate MI reporting to assist with the optimisation of strategic objectives.

  • Lease rent, business rates management and negotiation – working with internal stakeholders.

  • Financial management and reporting – responsibility for property costs.

  • Oversee all Global responsibilities with regards to Service Charge management both as a client and as a managing agent (only certain properties apply).

  • To contribute the development of technology, systems, policy, procedures and practice, and to achieve  the Company’s aims, objectives and targets.

  • Develop and manage all our relationships with Landlords, Managing Agents and Third parties.

  • To carry out inspections with focus on the required standards and expectations of all parties, ensuring that all accommodation is to the required standard and to visit properties.

  • Continual performance review of our property management.

  • Work closely and collaborate with Global hard services partners.

  • Identify opportunities to save costs, be efficient with property performance, develop third party relationships and understand market activity.

  • Ensure that written records, correspondence, reports, notices and database records in connection with the various duties are maintained to a high standard

  • Represent Workspace/Global in all legal property matters in collaboration with internal stakeholders.

Utilities, Sustainability and Energy Management

  • Management of all utilities services across the property portfolio to include financial management.

  • Develop, coordinate and implement strategies and policies to reduce energy consumption.

  • Encourage the use of renewable and sustainable energy resources within an organisation or community and raise the profile of energy conservation.

  • Develop solutions for energy monitoring and carbon management.

  • Create policies and systems for buying energy and helping with contract negotiations.

  • Provide technical and practical advice and offer training on energy efficiency.

  • Develop promotional activities and materials to publicise particular schemes.

  • Liaise and negotiate with contractors, the building supplies industry, council services and other relevant organisations

  • Keep accurate records and regularly collect energy monitoring data.

  • Carry out site inspections and energy surveys.

  • Benchmark energy consumptions against best practice guidelines.

  • Keep up to date with legislation.

  • Ensure that written records, correspondence, reports, notices and database records in connection with the various duties are maintained to a high standard.

  • Confidently engage and influence internal and external stakeholders to support the implementation of identified energy saving opportunities.

  • Collaborate with internal stakeholders supporting, influencing and delivering against Globals green strategy and objectives.

What you will need

The ideal candidate will be proactive and willing to develop and implement innovative solutions, capable of the following:

  • A comprehensive understanding and demonstrable experience of property & utilities management, industry, guidelines and legislation.

  • Experience with office fit-out, refurbishment and relocations.

  • Friendly and professional and a tireless work ethic towards ensuring that colleagues and building users are given an exemplary experience.

  • An appetite to be of a high performing team delivering the most amazing.

  • Competence to solve problems and work on your own at times.

  • Exceptional attention to detail, organisational skills, manage workload, supporting multiple outlets and buildings.

  • Organised, motivated, adaptable and proactive.

  • Diplomacy skills to handle complaints and emergencies in a level-headed manner.

  • Must be highly proficient in Microsoft applications.

  • Must possess excellent written and verbal communication skills.

  • 2-5 years' experience in a similar role within the sector.
