Job Description:

Seeking a Project Coordinator to join our Application Deployment Services (ADS) team.  The Project Coordinator role provides project coordination support for the Managed Application, Infrastructure, Networking, Enterprise, and Security Services (MAINES) contract by supporting application deployments to completion.  The Project Coordinator works in unison with a team of deployment managers supporting multiple cloud and on-premises deployment(s), coordinating cross-functional teams across client and contractor organizations. 

Duties and Responsibilities:

  • Must be familiar with ITS EPA MAINES Deployment Process by acting as a key project coordinator for a set of application deployments including deployments to Cloud and On-Premises environments.
  • Must be familiar with ITS EPA MAINES contract to work with EHD Stakeholders and internal teams to produce high-quality documentation that meets applicable standards, including easy-to-understand SOPs and process documents.
  • Manage deployment documentation in Atlassian tools, including JIRA ticket management and Confluence space management.
  • Schedule requirements gathering and application deployment meetings; resolve schedule related conflicts through close interaction with stakeholders.
  • Facilitate technical meetings related to application deployments involving customers, management, and technical staff.
  • Produce meeting summaries that capture status, technical details, schedule updates and actions.
  • Support the creation, maintenance, and dissemination of documentation (deployment schedules, contact list, archived schedules, architecture diagrams, etc.) to deployment teams.
  • Create and deliver status reports, deployment queue reports, and other customized reports as requested to comply with stakeholder needs and client deliverables.
  • Ensure new application deployment/decommissioning work intake requests are being accurately and punctually processed and assist customers as needed.
  • Independently complete deployment-related activities, and tasks.
  • Complete complex detailed assignments autonomously requiring independent action and a high degree of initiative.
  • Lead the deployment team(s) through the application deployment process for Cloud and On-Premises including technical processes/protocols parallel (Firewall Rule Request, Authentication, Billing, Appscans, etc.)  to the deployment process.
  • Create and maintain process documentation and update training materials to support the training of deployment managers, technical staff, Enterprise Hosting Division (EHD) management, and customers.
  • Build and maintain Atlassian sites for deployment management, JIRA, Kanban, Confluence websites.
  • Independently gather information from subject matter experts to develop, organize, and write procedure manuals, technical specifications, and process documentation.
  • Effectively obtain and share institutional and process knowledge to direct, train, educate, counsel team.
  • Perform IT Analyst/Quality Assurance support for the legacy application deployment system.

REQUIRED Knowledge, Skills, Abilities and Competencies:

  • Extensive historical knowledge with ITS EPA MAINES contract.
  • Training/education/experience in project coordination; functional knowledge of IT project management concepts and tools.
  • Training/education/experience in technical writing.
  • Advanced, high-level proficiency of Microsoft Office products (Outlook, Word, Excel, Teams Visio, and PowerPoint)
  • Extensive understanding of meeting facilitation, management, and scheduling.
  • Excellent organizational and time management skills; ability to manage frequently changing priorities of competing importance.
  • Ability to communicate and interact effectively with internal/external teams including key stakeholders and customers.
  • Ability to provide verbal reports to large groups (via phone).
  • Ability to work independently with minimal supervision and within tight deadlines, following detailed written policies, processes, procedures, and work instructions.
  • Strong analytical, summarization, conceptualization skills to produce timely, accurate, concise written communications.
  • Ability to apply active listening skills to focus among distractions and discern general concept and relevant details. 
  • Ability to work within a team structure to achieve shared goals and deliverables.
  • Ability to produce high-quality documentation that contributes to the overall success of our program.

DESIRED Knowledge, Skills, Abilities and Competencies:

  • Operational knowledge and proficiency in SharePoint, and Atlassian Tools (JIRA/Confluence).
  • Operational knowledge and proficiency in Microsoft Project, Visio, SharePoint
  • Training/education/experience in Information Technology; Understanding of deployment architectures such as servers, networks, operating systems, middleware such as Cloud, DevSecOps, Oracle, Java, and security related items such as security plans and firewall rules.
  • Training/education/experience in software testing is a plus

The likely salary range for this position is $85,093 - $112,851. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
