Job Description Summary:

Work with Practice Administrator to ensure all providers are properly credentialed to comply with applicable legal, professional, and regulatory requirements. Work with BMT Quality Manager to ensure all necessary human resource documentation is available for regulatory requirements including CVs, licenses, continuing education credits, etc. Manages regulatory and accreditation site visit logistics.

Participate in the development and planning of new and existing projects to forward the strategic goals of the BMT program. The ideal candidate should be able to turn around requests quickly, be flexible to changes, and be able to balance autonomy with teamwork. Maintenance, communication, and tracking of department projects. The candidate should be polished, articulate, and forward-thinking. Must have the ability to anticipate needs and perform duties that help leadership effectively serve the strategic goals of the program, service line, and organization.

Manage maintenance and repair of program devices and keep inventory of all asset tagged items. Coordinate network/shared drives, manage confidential information, follow OhioHealth records retention policies and organize long term storage as appropriate. Ensure privacy and security of data.

Coordinates department invoice management, purchase orders, and supply ordering. Works with Accounts Payable and Procurement. Sets up new vendors as needed. Maintains invoice and cell acquisition charge tracking database for patient billing and audit purposes.

Develops business plans to support potential growth opportunities for BMT and Oncology. Assists with budget preparation and reporting related to programming and outreach.

Provides coordination and logistics for the BMT program at OhioHealth. Provides complex administrative responsibilities including strategic calendar management for multiple operations and clinical leaders. Maintains conference and work room schedules. Schedule and facilitate meetings with stakeholders both internal and outside of OhioHealth. Orders catering, gathers and disseminates meeting materials and makes audio/visual arrangements. Prepare presentations, memos, and the BMT Monthly Newsletter and distribute as appropriate. Manage and delegate information requests.

Independent thinking, problem solving, and innovation are required to resolve complex and unanticipated problems, applying appropriate interventions while performing daily tasks. Requires organizational and decision-making skills to support special projects and strategic planning of the program. Self-driven initiative to make process improvements in the program and administration of project and program logistics, and data analysis to recommend changes or inform leadership in strategic planning.

Responsibilities And Duties:

Operations and fiscal stewardship – 60%
Maintains specialized department operational and patient databases (eg. donor cell acquisition, immune effector cell, operational site capabilities and capacities) Audits and reconciles data related to donor cell acquisition and immune effector cells to ensure compliance and appropriate reimbursement is received for services. Works with others to ensure credentialing compliance and fulfillment of regulatory and accreditation needs. Assists with budget preparation and reporting related to programming and outreach. Coordinates wide-range communication regarding BMT program status and updates. Develops business plans to support potential growth opportunities for BMT and Oncology.


Process improvement, project management/special projects – 30%
Collaborates with interdisciplinary teams to organize special events and projects germane to BMT and the Oncology Service Line. Supports process improvement efforts and participates in department projects to advance BMT strategic planning and development.

Admin – 10%
Manages complex administrative responsibilities in support of BMT operational and clinical leadership. Coordination of all administrative activities for the program including calendar management, maintenance, supply ordering, vendor management, and meeting logistics.

Minimum Qualifications:

Bachelor's Degree

Additional Job Description:

  • Degree preferred or a combination of equivalent experience and education
  • Field of Study: Business, Management, Healthcare Administration, or related
  • Years of Experience: 3-5

SPECIALIZED KNOWLEDGE

Excellent written and verbal communication skills. Exceptional organizational skills and the ability to work independently. Project management skills. Understanding of regulatory agencies and requirements for site visits. Advanced knowledge of databases, Word, Excel, and similar technologies.
