About the role:
An exciting new opportunity has become available for an experienced Reservations & Sales Coordinator to join our friendly RAC Parks & Resort team on a full-time basis. If you are passionate about tourism, travel, and sales, this could be your next big adventure!
Reporting to the Revenue & Member Experience Manager, the successful candidate will play a crucial role in supporting the sales and reservations functions of RAC Parks & Resorts and our portfolio of nine parks and resorts across Western Australia, through ensuring seamless operations and exceptional customer experiences. This dynamic position involves a variety of tasks including relationship management, process improvement, administrative support, and sales assistance.
Ongoing training and support as required will be provided to the right candidate.
What does every day look like for you?
You will spend your days:
- Supporting ongoing relationships with wholesale, group, and inbound sales contacts, ensuring excellent communication and service delivery.
- Assisting in developing strong relationships with internal RAC business units to grow cross selling opportunities.
- Utilising CRM systems to maintain company and guest profiles, preferences, and booking history, enabling personalised interactions and targeted communication.
- Creating and maintaining processes and procedures for handling reservations from online travel agents, wholesale businesses, and group bookings, ensuring efficiency and accuracy.
- Providing remote guidance, training and support to Parks & Resorts front-line team members on reservation procedures and sales techniques to ensure consistent sales standards.
- Providing administrative support to the hybrid telephone team, assisting with scheduling, data entry, and customer inquiries to ensure smooth operations.
- Conducting regular audits of reservation processes, guest email & telephone communications, and booking confirmations to ensure accuracy, consistency, and compliance with brand standards and policies.
- Assisting with sales telephone demand as needed, providing support to the sales team during peak periods to ensure a timely response to customer inquiries and maximize sales opportunities.
- Supporting the development of centralised reservation sales processes to ensure the Parks & Resorts guest purchase experience is the same across the portfolio.
- Providing support to the guest services team by assisting with guest inquiries, requests, and feedback resolution to ensure exceptional guest experiences.
- Assisting with sales of group bookings, meetings, and events by liaising with park operations teams, offering contract support and monitoring cancellation risk.
- Assisting in monitoring and optimizing rates on the property management system, ensuring competitiveness in the market and maximizing revenue potential.
- Assisting with the management of room & site inventory to maximize revenue potential, including overseeing room allocations, managing room blocks, and coordinating with the operations teams to ensure rooms & sites are available for sale.
- Assisting in analysing sales and reservation data to identify trends, opportunities, and potential revenue gaps, providing insights to inform pricing strategies and promotional activities.
- Coordinating with online travel agencies (OTAs) and other distribution channels to ensure accurate inventory availability, rate parity, and content optimization to drive bookings and revenue.
- Supporting the creation and management of promotions and sales rates within the property management system, collaborating with the sales and marketing teams to drive bookings and revenue growth.
- Assisting the Revenue & Member Experience Manager with the build and ongoing maintenance of the Property Management Systems at newly acquired parks as required.
What are we looking for?
- Previous experience in reservations, sales, or customer service roles, preferably within the hospitality industry.
- Strong communication and interpersonal skills, with the ability to build and maintain relationships with internal and external stakeholders.
- Excellent organisational skills and attention to detail, with the ability to manage multiple tasks simultaneously and prioritize workload effectively.
- Proficiency in Microsoft Office Suite
- Preferred proficiency in NewBook or RMS property management systems.
- Proactive mindset with a willingness to take initiative and contribute to process improvement initiatives.
- Flexibility to visit regional properties on occasions.
