About This Opportunity 

We are seeking a motivated and experienced Executive Assistant with excellent organisational and time management skills to support the Associate Dean External Engagement and the Senior Executive Assistant to the Executive Dean for the Faculty of Engineering, Architecture and Information Technology. Next to this, you will also support the overall operations of the office.

Key responsibilities will include:

Provide high-level administrative support to ensure the smooth operation of an Executive's schedule, including diary management, correspondence, meeting coordination, travel arrangements and communications. Support relevant boards and committees with secretarial tasks, and proactively plan and manage divisional projects, events, and conferences. Prepare executives with necessary briefings for meetings and oversee daily information flow within the executive office. Liaise with internal and external stakeholders, handle enquiries, and ensure timely follow-up. Manage financial processes such as reimbursements, expenses, and approvals in accordance with University policies, and perform additional tasks as required by the supervisor.

About You

  • A Bachelor’s degree with subsequent relevant experience; or completion of an Advanced Diploma qualification and at least two years subsequent relevant work experience; or completion of a Certificate IV and extensive relevant work experience; or an equivalent combination of relevant experience and/or education/training.

  • Excellent organisational and time management skills as well as a commitment to a high level of customer service.

  • High level of organisational skills, including the ability to prioritise competing work demands and meet deadlines, whilst maintaining accuracy and attention to detail.

  • Advanced stakeholder management and engagement skills.

  • Excellent time management skills.

The successful candidate may be required to complete a number of pre-employment checks, including: right to work in Australia, criminal check, education check, etc.
