Manage and track incoming and outgoing shipments to ensure accuracy, timeliness, and regulatory compliance
Assemble, package, and prepare materials, supplies, and documentation for shipment in accordance with handling requirements
Review, and maintain shipping documentation including packing lists, air waybills, and customs documentation when applicable
Responsible for receipt, delivery or storing of incoming packages or goods. Open and inspect incoming packages, verify received goods against purchase orders (POs), receive items into the Coupa system, and promptly report or resolve discrepancies
Notify recipients of received packages and facilitate efficient delivery by clearly labeling packages and communicating their location or detrashing and putting away at storage locations
Coordinate with logistics providers to support efficient deliveries, cost awareness, and compliance with vendor-specific shipping and handling requirements, including cold storage, temperature-controlled materials or regulated materials
Utilize FedEx Ship Manager (or similar systems) to process parcel shipments and generate required shipping documents, including invoices and customs forms when applicable
Follow all safety protocols and regulatory requirements, including Good Laboratory Practices (GLPs), and adhere to special handling instructions for hazardous, perishable, or temperature-sensitive materials
Maintain accurate, complete, and organized records of all shipping and receiving transactions in accordance with company policies
Reviews receipt of all materials to ensure the quantity and the quality of materials received are correct and consistent with shipping documentation and purchase orders, as applicable
Ensures the security and accountability of materials and goods delivered
Performs data entry and maintains necessary documentation to reflect the effectiveness and efficiency of shipping and receiving
Analyze reports and documents and correct noted deficiencies in a timely manner
Supports point-of-use and stocking locations through timely delivery of materials and communication of replenishment needs
Processes outgoing shipments and returns consistent with regulations and work instructions. Prepares and maintains records of materials shipped. Posts weights and shipping charges and prepares goods for final shipment
Provides guidance, knowledge sharing, and on-the-job training to less experienced team members. Serves as primary operational contact for white glove shipments
Maintains Capital Equipment Smartsheet and ensures accuracy.
Maintains GMP storage and Inventory log
Coordinates the weekly Purchasing Past Due Meeting and tracks assigned follow-up actions to completion
Creates, updates, and maintains reports, metrics, and dashboards supporting shipping and receiving operations
Identifies opportunities for improvements to existing processes/procedures and recommends solutions to improve efficiency and effectiveness
Maintain a clean, organized, and safe work environment in compliance with OSHA and company standards
Exercises judgment in resolving routine shipping and receiving issues and escalates more complex issues as appropriate
Collaborate with cross-functional teams (e.g., research and development, clinical, planning, quality) to ensure effective shipping and receiving support
Other duties as assigned
High School Diploma / Associates degree and 4+ years of data entry and receiving experience preferred. Biotech or laboratory experience preferred
Some college courses preferred
Understands shipping process to prepare final shipping documents, including hazardous materials and international shipping, IATA/ 49 CFR Certification, preferred
Understand tracking mechanism for shipments / returns
Data entry and receiving knowledge preferred
Knowledge of Biotech, pharma or laboratory shipping/receiving methods
Must be comfortable working in a laboratory environment.
Valid driver's license and ability to drive company vehicles
Forklift certification and other relevant material handling certifications preferred
Use established skills to perform a range of daily operations
Apply understanding of company policies, procedures, work instructions to complete assigned tasks
Understands how own area contributes to the achievement of objectives

The hourly rate we reasonably expect to pay is $28.15-$38.41. Individual pay decisions depend on various factors, such as primary work location, complexity and responsibility of role, job duties/requirements, and relevant experience and skills. In addition, this position offers an annual bonus with a target of 20% of the earned base salary and eligibility to participate in our equity based long term incentive program.
