We’re looking for a sales support coordinator who is fluent in English to join our team in Toronto.

As the sales support coordinator, you will provide administrative support to your team. You will partner with a wholesaler and regional wholesaler to cover a geographic territory, as well as work with other associates within the organization

The role involves coordinating a client meeting scheduling strategy with your sales team, scheduling client meetings for the wholesaler, arranging travel, preparing correspondences and compliance documents, tracking expenses and business promo activities, and planning events.

  • You will make outbound calls and send scheduling emails, follow-up on meeting requests, maintain coverage reports, coordinate meeting logistics, confirm meetings, and reschedule cancelled meetings. 
  • You will send literature and other requested marketing materials to clients and coordinate travel arrangements for your wholesaler (e.g., airfare, hotel, transportation).
  • You will secure event venues or rooms, coordinate catering, send event invitations, and track RSVPs for your territory events.
  • You will track and monitor expenses and business promo activities in a timely and accurate manner. This involves ensuring that all expenses and activities are following company policies and industry compliance regulations.

A typical day may include, scheduling client meetings, utilizing scheduling tools in our CRM system (Salesforce), maintaining client profiles, sending out marketing materials, expense reporting and completing ad hoc requests.

  • You have good communication skills in both written and verbal forms, in English.
  • You have bachelor’s degree with a preference in business.
  • You have 2-3 years of solid background in sales/marketing including calling.
  • You have strong organizational and time management skills.
  • You’ve had previous experience coordinating large complex meetings and events involving participants in multiple locations, compiling meeting agendas, reserving meeting spaces, and arranging catering and all details.
  • Your background includes plenty of examples of times when you’ve taken initiative to raise issues, solve problems and get things done.
  • You can work independently and as part of a team.
  • You have proficiency in Microsoft Office Suite, and you can leverage Excel to manipulate data effectively.
  • You can focus on the small details that can make a big difference in the success of a meeting, event, or sales opportunity.
  • You have strong attention to detail, and able to identify potential issues or problems before they arise then take proactive steps to address them.
  • You understand and anticipate the needs of customers and provide them with the highest level of service.

The role requires 3 office days in our Toronto office on Tues. Wed. and Thurs. and allows 2 WFH days on Mon. and Fri.

In addition to a highly competitive base salary, per plan guidelines, restrictions and vesting requirements, you also will be eligible for an individual annual performance bonus, plus Capital’s annual profitability bonus plus a retirement plan where Capital contributes 15% of your eligible earnings.
