About The Role:
The Enrollment Specialist will assist students as they navigate the enrollment process, focusing on guiding new applicants through their first semester course registration. This role involves supporting lead generation and applicant conversion, requiring proficiency in the Customer Relationship Management (CRM) system (SalesForce). The position is hybrid, with responsibilities spanning across admission, recruitment, financial aid, registration/records, and bursar functions. A key focus will be on problem-solving student transactional needs, managing student caseloads, and improving lead conversion rates.
Required Skills:
- Customer Relationship Management (CRM) System Proficiency: Skilled in using SalesForce or similar platforms to manage and track student data, leads, and opportunities.
- Communication Skills: Exceptional verbal and written communication skills to effectively support students and interact with team members, senior leaders, and external stakeholders.
- Problem-Solving & Conflict Resolution: Ability to resolve individual and group conflicts, address student inquiries, and resolve transactional challenges efficiently.
- Attention to Detail: Able to maintain accurate case notes and follow up on various student processes in a timely manner.
- Event Coordination & Outreach: Experience coordinating events and conducting outreach, with a focus on student engagement and lead conversion.
- Multitasking & Organizational Skills: Ability to manage multiple tasks and responsibilities in a dynamic environment.
- Adaptability & Collaboration: Strong capacity to work with diverse teams and adapt to changing needs within the organization.
Key Responsibilities:

All responsibilities will be conducted within the parameters of the Family Educational Rights and Privacy Act (FERPA), other applicable regulatory requirements, and professional standards.
- Student Support:
- Serve as a primary resource for applicants needing walk-in and virtual assistance regarding college admissions.
- Provide counseling and guidance to students through the registration process and assist with tools such as Degree Tracker and Schedule Builder.
- Lead Management:
- Manage and monitor a caseload of leads and opportunities to maximize applicant conversion.
- Track case notes and maintain accurate records in the electronic student record system.
- Event Coordination & Outreach:
- Participate in and assist with campus events like enrollment events, recruitment fairs, and high school visits.
- Conduct targeted outreach to newly admitted students to guide them through their next steps before the first week of classes.
- Assessment & Financial Aid Support:
- Assist students with assessment-related queries, review assessment waivers, and refer to relevant resources like the Tutoring Center and Academic Advising Center.
- Provide support with general financial aid inquiries, including FAFSA completion, loan eligibility, and referrals to the Financial Aid Office.
- Business and Bursar Support:
- Answer inquiries related to tuition payments, accounts, fund disbursements, and Bursar holds.
- Make referrals to the Business Office for complex financial questions.
- Problem-Solving & Collaboration:
- Resolve routine student transactional needs without transferring students between departments, escalating complex issues to relevant experts.
- Collaborate closely with the director of admissions/recruitment and VCES to promote and market events and initiatives.
- Campaign & Marketing Support:
- Assist in marketing student events and outreach campaigns using platforms such as Signal Vine, email, and telephone counseling.
Education & Experience:
- Education:
- Associate’s degree or certification with 3-4 years of relevant experience, or a Bachelor’s degree with 1-3 years of experience.
- Experience:
- Experience in higher education, student services, or related fields is preferred.
- A proven ability to work collaboratively with colleagues across various departments.
- Additional Skills:

- Strong judgment, discretion, and tact in dealing with confidential student information and senior leaders.
