Purpose:

The Overall purpose of the role is to provide procurement services to IT globally. The Commercial Operations Assistant will support the Commercial Operations Manager and be part of a global team that will provide a central point for the ordering of goods and services and the payment of invoices.

Key Performance Areas and Accountabilities:

Commercial Management:

  • Maintaining entries associated with all purchases made throughout the department across various budgeting spreadsheets.
  • Processing the department invoice entries using the electronic payment s to ensure suppliers are paid within contractually agreed terms.
  • Liaising with the finance department to resolve any invoice queries.

Vendor Engagement:        

  • Assisting Technology Managers from all global offices with requests relating to spend approval and the procurement of goods and services.
  • Acting as the primary point of contact for the sourcing of quotations for goods and services.
  • Placing orders with suppliers as required.
  • Maintaining documentation and processes relating to the firms mobile devices and other IT infrastructure and assets.
  • Assisting Technology Managers from all global offices with requests relating to spend approval and the procurement of goods and services.
  • Acting as the primary point of contact for the sourcing of quotations for goods and services.

Contracts Database:

  • Keeping the Contracts Database updated and assisting with reporting on expiring contracts.

General Administration and Additional Duties:

  • General administration duties such as photocopying and scanning.
  • Maintaining staff emergency contact list.
  • Leave cover when required.

Requirements Profile:

Education:

  • Grade 12 or equivalent (NQF 4) – Required
  • Qualification in or studying towards procurement related qualification/s - Required
  • BCom Degree or equivalent (NQF 7) – Required

Experience:

  • Minimum 2 years’ experience with invoice processing and basic IT commodity procurement at Operational level - Required
  • Minimum 2 years’ experience in departmental budget administration at Operational level - Required

System Skills:

  • MS Office – Intermediate to Advanced (Required)
  • MS Visio – Beginner – Intermediate (Required)

  • Knowledge of a centralised/ shared services environment

  • Intermediate – Advanced knowledge of Excel including VLookUps and Pivot Tables
