Job Description

REPORTING TO/DEPARTMENT: 

Reports to President & General Manager, Asia Pacific

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • HR & Office Admin. Support
    • Organize, consolidate presentation materials and host Monthly Meetings, prepare meeting minutes
    • Maintain Staff Leave Record
    • Name Card Printing
    • Replenish office supplies including but not limited to distilled water, pantry sundries, stationery, and other office supplies.
    • Liaise with 3rd party service providers for contract renewals with regard to office related matters
    • Maintain the Hong Kong office in good and tidy condition
  • Marketing Event Support
    • Plan and coordinate meetings (APAC Kickoff meetings, Users’ Meetings in HK, Liver Roundtable Meetings, Distributors’ Technical Meetings, etc.) with the customers and partners
  • IT Support
    • Order IT goods (PC, hardware and software license, etc.)
    • Maintain PC inventory
  • Sales Operation Support
    • Maintain SFDC record
    • Prepare legal document (authorization letters, etc.) for distributors
    • Prepare Distributor Agreement and Due Diligence check
    • Maintain Service Agreement Tracker Report
    • Upload various agreements in DocuSign
    • Support Director Service and Operation to prepare Full Parts Warranty and Alliance Service Contract
    • Prepare Precision Loan agreement and training quotation
    • Prepare end of comprehensive support (EoCS) letter
  • Customer Support
    • Manage the engineer radiation badge and arrange radiation checkup examination when required by the Authority
    • Support distributor online tools access (Go Accuray, Accuray University, FTP Sync, and their login issue to Director Service and Operartion
    • Liaise with Training Department for distributors’ Field Service Engineer Service training; and  arrange training for distributors and hospital  Physics/Application’s customers
    • Prepare training certificates, assist training enrollment for distributors, verify CBQ qualification and related stuff… etc  ; manage the training sign-in sheet
    • Support Quality Engineer and Technical Support Manager to arrange/negotiate calibration of service tools
    • Prepare Precision Demo agreement and inventory management

  • Work on special projects (office leasing and office renovation projects) as needed.

REQUIRED QUALIFICATIONS:

Preferred or Desired:

•     Bachelor’s degree or equivalent.

Required

  • 5-7 years’ Sales Administrative support in a fast paced environment.
  • Advanced MS Office capabilities (Outlook, PowerPoint and Excel).
  • Able to work audio /video conferencing systems.
  • Ability to manage multiple calendars.
  • Willingness to go beyond what is expected, able to help different departments if asked.
  • Self-motivated, innovative, able to accomplish tasks with minimal direction and supervision. Must be able to operate effectively with minimal direction.
  • Ability to multi-task and prioritization in a fast-paced environment with close attention to detail, accuracy and timeliness.
  • Ability to prioritize work load, projects.
  • Can do attitude, no task is too small.
  • Able to get along with everyone, team player.
  • Excels in fast pace environment.
  • Works well under pressure.
