Job Description
Building:
- Responsible for workplace service delivery
- Responsible for reactive and preventative maintenance completion, according to SLAs and KPIs
- Responsible for building records collection and maintenance (asset registers, certification, PPM records, contracts)
- Execute periodic building inspections, and monthly job-walks with vendors to ensure contracted scope is met
- Translates and drives WPS initiatives in corresponding region such as vendor consolidation, process and systems implementation and office occupancy tracking
Staff & Vendor Management:
- Responsible for local Vendor management / QBRs (quarterly business reviews)
- Oversee cleaning activities, audits and ensure correct service level
- Oversee reception / mail / catering services as applicable
- Keep track of hygienic consumables stock levels and responsible for reordering
- Possibly manage 1-2 support/reception staff
Security & Environmental, Health & Safety (EH&S)
- Regional contact for Sustainability committee, to ensure CSR activities with impact on RE & WPS are in line with Organization's strategy
- Work with Security and EH&S team and local vendors to serve as SME for local legislation compliance
- 24/7 Security on-call for any building emergencies
Real Estate:
- Serves as local point of contact for landlord during lease term, with Global Real Estate to support and manage lease negotiations/larger issues
- Keep headcount/seating information up to date in FM Systems
- Keeps track, records and stores required real estate and workplace services documentation to ensure its updated and available
- Project manage small office renovation projects, with support from Bose’s Global Real Estate team in U.S
- Local point of contact & key member of extended team for Global Real Estate on larger renovation or relocation projects
Financial & General Business:
- Manage WPS budget for Germany, and report/roll-up to global WPS budget
- Drive service, operational and financial efficiencies across all aspects of the job by identifying and implementing improvements on an on-going basis
- Maintain proactive relationship with onsite stakeholders, regional leadership, and U.S. corporate headquarters
- Support warehouse and shipping
- Partner with peers across Europe and the globe
Requirements:
- 3+ years of experience in Facilities Management or similar
- Facilities Management degree, certification and / or Technical background is a plus
- Vendor management experience is required
- Occupational H&S management experience is a must
- Occupational H&S certification is a plus
- Excellent verbal and written communication
- Experience working in corporate multicultural environments
- Experience in developing and implementing processes
- Ability to analyse data and translate into recommendations / actions
- Independent and hands on
- Able to work under pressure and make decisions
- Proactive in acknowledging issues and proposing solutions
- Customer driven
- Fluent English and German speaker
