This position will play an integral role within a global SM pharma customer dedicated International Congress & Events Team. 

What You´ll do:

  • Liaison with the customer stakeholders for all aspects of project and logistical management with focus on achieving top quality and successful events and attendance at some strategic meetings & congresses.
  • Research suitable venues for Standalone/Product launches/Internal meetings, offsite dinners and produce comprehensive and informative proposals including budgets.
  • Negotiation with Congress Housing Bureaus to secure the relevant accommodation blocks and rates.
  • Negotiation with PCOs with regards to satellite symposium, additional meeting requirements etc.
  • Preparation and management of main event budget template and any affiliate managed budgets and financials.
  • Delegate management according to local regulatory guidelines.
  • Negotiation and management of 3rd party supplier contracts/terms and conditions including guarantees, attrition, limitations, cancellation penalties etc.
  • Post event reconciliation (including cost savings) and evaluation.
  • Build and maintain close relationships with all the various stakeholders (key client contacts, Medical/Brand Teams, PCOs, Housing Bureaus, other 3rd party suppliers).
  • Identify any new innovation solutions to drive future enhancements of the servicing model to meet client needs.
  • Support Global and Regional Account Management and Operations Manager to identify and maximize opportunities to enhance account success.
  • As a Senior Events Manager, act as subject matter expert (SME) for the team members to ensure consistency and training for all, using best practice approach, experience & knowledge.
  • May require travel to destinations worldwide, in support of client site inspections and/or program operations.

What We´re Looking for:

  • Fluency in both written and spoken Spanish & English A MUST - knowledge of a third European (German, French, Italian) language would be beneficial.
  • Self-confidence and self-driven, positive attitude. Ability to navigate in changing environment.
  • Experienced congress/event meeting planner preferably with Pharmaceutical Congress & Meetings Team - MINIMUM 5 YEARS
  • Excellent project management skills and able to handle a number of different events at any one time. Must be flexible and able to work under certain pressure.
  • In-depth knowledge and experience of working within Pharmaceutical industry – Brand Team, therapy areas, regulatory restrictions.
  • Knowledge and experience of working with Pharmaceutical Congress Housing Bureaus understanding the nuances around the point system depending on company ranking, sponsorship levels etc.
  • Previous experience of working with Pharmaceutical International Congress PCOs and existing relationships built upon this experience.
  • Strong ability to interact with clients at a meeting level & key contact level when needed.
  • Strong financial acumen including use of excel, production of complex budgets etc.
  • Previous knowledge and experience of Cvent would be useful.
  • Experience of working with multi country delegate management and associated regulatory/compliance requirements would be beneficial.
  • Excellent oral and written communication skills and presentation is crucial.
  • Ability to deal and communicate effectively with all stakeholders including customers (KOLs, HCPs, Speakers) at all levels with confidence and credibility.
  • Demonstrated ability to analyze situations, negotiate and make decisions in a fast paced environment.
  • Recognizes systems/root causes and identifies alternative solutions through analytical approaches.
