POSITION SPECIFICS
Join Penn State's team as an Academic Program Coordinator Supervisor. You'll work in a collaborative environment, making a difference in the Department of Anthropology and School of Labor and Employment Relations by providing critical administrative and logistical support for faculty and students.
This role is at the heart of academic operations for the graduate and undergraduate programs, ensuring program management and student success. Supervisory responsibilities include leading the Student Services administrative staff team.
Lead daily operations and administrative coordination for the Student Services administrative staff team, ensuring consistent workflow.
Provide leadership and mentoring to direct reports and encourage cross training opportunities.
Assign duties and conduct performance evaluations.
Ensure effective collaboration with College advising and other administrative units.
Manage processing of graduate student appointments.
Coordinate appointment types and funding distributions.
Process stipend changes, salary reallocations, and adjustments.
Liaise with internal and external units for fellowships, special assignments and awards.
Monitor graduate program reporting, deadlines, and compliance with academic policies.
Oversee resident course scheduling.
Work with school and departmental leadership to meet teaching and instructional needs.
Manage schedule updates, instructor assignments, and room logistics.
Collaborate with staff on graduate student teaching and research assignments.
Support the Director of Undergraduate Studies in academic planning and course management.
Oversee undergraduate and graduate events including info sessions, career nights, and commencement.
Organize Graduate Recruitment Weekend and New Student Orientation, including travel, accommodations, scheduling, and communication.
Assist in hosting virtual recruitment events for admitted students and manage all event-related communications and logistics.
Support the design and use of databases for student records, course offerings, and workload tracking.
Oversee staff responsible for student and curriculum data collection and reporting.
Provide broad administrative support across both University Park and World Campus programs (World Campus is Penn State’s online campus).
Serve as point of contact for students, faculty, and external inquiries and provide guidance on program procedures, policies, and student issues.
Maintain and organize confidential student records and files.
Coordinate course scheduling and assist with instructor assignments; provide basic technical support for course setup and classroom logistics.
Support faculty with administrative tasks, including materials preparation, room scheduling, and form processing.
Collect and manage data for internal and external reporting.
Track student academic progress.
Coordinate and monitor faculty evaluation processes from students.
Communicate and collaborate with university offices and departments.
Attend and disseminate information from university-wide meetings and workshops.
The Academic Program Coordinator Supervisor will also support scholarship and internship processes by coordinating communications, verifying student eligibility, and assisting in student scheduling.
The Academic Program Coordinator Supervisor will utilize organizational and multi-tasking skills to complete the above responsibilities.
Ability to be detail-oriented
Excellent communication (verbal and written), interpersonal, and problem-solving skills
Proficiency in Microsoft Office 365, particularly Excel for data tracking and reporting, Outlook for communication and scheduling, and Word for document preparation
MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS
Associate Degree 4+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

SALARY & BENEFITS
The salary range for this position, including all possible grades, is $49,188.00 - $71,340.00.
