Job Description

Position Summary

The Property Management Administrator (PMA) provides essential administrative support to the property management team, acting as a vital liaison among customers, vendors, and various departments, including but not limited to Property Management, Leasing, Accounting and Finance teams.

Responsibilities

Property Management Office

  • Supports the day-to-day management of the property including general office work such as file organization, fulfilling written requests, answering phones, greeting guests, word processing, distributing mail, purchasing and replenishing supplies
  • Serves as initial point of contact for customer, vendor, merchant and tenant inquiries, requests and complaints while exhibiting a high level of customer service
  • Collaborate with the property management team to distribute important tenant memos and communications.

Tenant and Vendor Data Collection

  • Manage the collection of required reports, documents, and other data specified in agreements, leases, or contracts, including monthly tenant reporting, city reporting, and vendor reporting.
  • Oversee the collection of utility readings and upload supporting materials for the BPR accounting and finance teams.

Accounting and Finance

  • Support the property management team with accounts receivable and accounts payable tasks.
  • Work with vendors to onboard them into our system, assist with disputes, and ensure accurate record-keeping through proper coding.

Tenant Coordination

  • Assist the property management team in onboarding new tenants by providing essential property information as outlined in the Tenant Handbook.
  • Manage the tracking of crucial tenant information, such as lease obligations and commencement dates.

New Team Member Coordination

  • Support the property management team with new team member onboarding by ordering or requesting necessary supplies and documents.

Miscellaneous

  • Other duties as assigned

Qualifications          

  • High School degree or GED required; Associate’s or Bachelor’s degree preferred
  • 1-3 years property management support experience
  • Strong project management, organizational skills, and interpersonal skills with attention to detail
  • Ability to analyze and interpret financial reports, budgets, contracts, and legal documents
  • Ability to adapt to a dynamic work environment
  • Supervisory and coaching skills with ability to delegate tasks
  • Demonstrate effective conflict resolution and customer service skills for interaction with merchants, customers, and co-workers
  • Strong working knowledge of various computer software such as Microsoft Office, Microsoft Teams, JDEdwards, Salesforce
