Work Shift
Job Summary:
The Correspondence and Imaging Specialist reports to the Manager Revenue Cycle Imaging and Scanning. Responsible for prepping, processing, routing, and distribution of inbound/outbound correspondence received via departmental/interdepartmental, lockbox, U.S. Mail, and fax per policy and procedure. Scans and indexes correspondence documents into the imaging system. Documents the patient account notes of correspondence received.
Core Responsibilities and Essential Functions:
Correspondence
* Preps and processes incoming external and internal mail/correspondence per policy and procedure
* Process assigned outgoing correspondence with accuracy and timeliness
* Prepare documents for scanning into imaging system
* Scan and index documents into imaging system
* Verify document is legibly and accurately scanned/indexed in imaging system
* Document patient account notes of correspondence received
* Complete check log for all checks received per policy and procedure
Productivity
* Process correspondence within two business days of receipt
* Complete correspondence productivity log and provide to manager on a daily, weekly, monthly basis
Other duties as assigned
* Follow the WellStar general Policies and Procedures, the Departments Policies and Procedures, and the Emergency Preparedness Procedures
* Demonstrate knowledge of HIPAA privacy standards and ensure compliance with system PHI privacy practices
* Follow JACHO and outside regulatory agencies mandated rules and procedures
* Demonstrate proficient use of systems and execution of processes in all areas of responsibilities
* Identify opportunities for system and process improvement and submit to leadership
* Perform other duties and responsibilities as assigned

Required Minimum Education:
High school diploma
GED equivalent
Required Minimum License(s) and Certification(s):
All certifications are required upon hire unless otherwise stated.
Additional License(s) and Certification(s):
Required Minimum Experience:
Minimum 1 year of relevant work experience. Required and
experience in medical/healthcare environment. Preferred
Required Minimum Skills:
Basic experience and knowledge of PC applications (Word, Excel)
Detailed-oriented, good organizational skills, and ability to be self-directed
Strong time management skills, managing multiple priorities and a heavy workload in a high-stress atmosphere
Flexibility to perform other tasks as needed in an active work environment with changing work needs
Excellent internal/external customer service skills
Excellent communication skills to include oral and written comprehension and expression
Ability to:
