Summary:
The Vendor Management Coordinator provides essential administrative, operational, and compliance support in overseeing the organization’s third-party vendor relationships. This role assists with vendor onboarding, credentialing, documentation management, and ongoing performance monitoring to ensure that vendors meet all organizational, contractual, and regulatory requirements. The Vendor Management Coordinator serves as a key point of contact for vendors and internal stakeholders, facilitating accurate communication, timely workflow execution, and consistent adherence to vendor management processes.Responsibilities:
Maintains accurate vendor records within the organization’s ERP, vendor management system, and supply chain databases, ensuring timely updates and audit-ready documentation.Tracks expiration dates and renewals for vendor certifications, insurance documents, and other compliance-related requirements. Maintains the Master Supplier database to include categorization and monthly audit reviews.Contributes to continuous process improvement, recommending enhancements to vendor workflows, documentation standards, and communication practices within Supply Chain Management.Serves as a primary point of contact for vendors, responding to inquiries, coordinating meetings, and facilitating clear communication between vendors and Supply Chain teams.Provides monthly Supplier representative updates, ensuring site compliance is consistently met.Assists with monitoring vendor performance, gathering data related to service levels, delivery reliability, product quality, and issue resolution.Assists with vendor issue escalation, documenting problems such as delivery failures, pricing discrepancies, or product shortages, and coordinating solutions with the Vendor Manager.Supports vendor onboarding and credentialing processes, ensuring all required documents, compliance checks, and approvals are completed in accordance with Supply Chain and Procurement Code requirements.Coordinates with Purchasing, Value Analysis, Logistics, and Accounts Payable to ensure vendor-related information is complete, accurate, and aligned with operational needs.Prepares and updates vendor-related reports, dashboards, and status logs to support decision-making and performance review activities, to include a supplier scorecard.Competencies:

Complexity of Work: Requires advanced critical-thinking skills, strong analytical abilities, and the capacity to manage multiple priorities in a fast-paced environment. Excellent oral and written communication skills, effective decision-making, problem-solving skills and organizational skills. Strong quantitative analytical skills required; must be able to develop and interpret complex data sets, cost benefit analysis and financial feasibility studies to develop value analysis strategies, priorities and plans. Expected to understand and anticipate changing market trends to assist in the development of strategic business strategies. Required Work Experience: A minimum of three (3) years of Strategic Sourcing, Analytics, Healthcare or related experience.
