Customer Service

  • Greet, assist, and direct candidates/new hires/visitors and the general public to the appropriate staff member
  • Issue of ID and access badges for new hires/vendors/visitors and maintaining a record.
  • Undertaking site inductions for new vendors on behalf of JLL
  • Receive, direct and relay telephone, email, and other queries
  • Book onsite meeting rooms and hospitality as per client requests
  • Liaise with site managing agent and site security.

Site Operations

  • Conduct daily meeting room and office check
  • Ensure meeting rooms are prepared and provide a hospitality service.
  • Manage / sort the post.
  • Manage the Facilities Helpdesk Platform and liaise with local service providers
  • Handle/Assist with incoming and outgoing mail enquiries
  • Assist in coordinating the repair and maintenance of office equipment and in the ordering of office supplies.
  • Track and chase outstanding maintenance issues.
  • Assist with the organising of vendor meetings, vendor performance reviews and Quarterly Business Reviews.
  • Assist the IFM Operations Lead in developing a close working relationship with all of the vendors under JLL’s control to ensure that they fully understand the client culture and are made to feel part of the team.
  • Responsible for initiating and closing purchase orders.
  • Maintains purchase order file for invoice back-up in anticipation of receipt of invoices for accounts payable processing and liaise with Nielsen’s finance team.
  • Develop/update seating charts, organizational charts, Google documents presentations to support the IFM  Operations Lead.
  • Understand how the building services affect the way the client operates.
  • Ensure accurate and detailed hand over is planned in the event of authorised absence.

Health, Safety, Environment & Quality

  • Undertake monthly EHS site inspections and report all accidents and Incidents to the JLL EHS Manager.
  • Complete necessary monthly reports
  • Understand & actively support JLL’s Quality Management program.
