Reporting to Senior Manager of Administration, you will be responsible for overseeing and managing all aspects of travel arrangements and event planning within an organization. This role requires strong organizational skills, attention to detail, and the ability to work in a fast-paced and dynamic environment. You will collaborate with various stakeholders to ensure that all travel and event logistics are executed seamlessly and within budget.

What you’ll be doing:

Travel & Transportation Management:

  • Coordinate and manage travel arrangements for employees, including flights, accommodations, ground transportation, and visa requirements.
  • Develop and maintain relationships with travel vendors, negotiate contracts, and ensure competitive pricing and service levels.
  • Monitor and enforce travel policies and guidelines to ensure compliance and cost control.
  • Aid and support to employees regarding travel-related inquiries and issues.

Event Planning:

  • Plan and execute a variety of corporate events such as conferences, summits, leadership offsites, team building activities, and executive retreats.
  • Manage all aspects of event logistics, including venue selection, catering, audio-visual setup, transportation, accommodation, and on-site coordination.
  • Collaborate with internal stakeholders to understand event objectives, themes, and requirements.
  • Develop event budgets, track expenses, and provide regular reports to management.

Vendor Management:

  • Identify, evaluate, and select event vendors and suppliers, ensuring they meet quality standards and budget requirements.
  • Negotiate contracts and manage relationships with vendors, including event venues, caterers, transportation providers, and audio-visual technicians.
  • Monitor vendor performance, resolve any issues or conflicts, and ensure contractual obligations are met.

Communication and Collaboration:

  • Communicate travel and event plans, updates, and policies to relevant stakeholders.
  • Collaborate with cross-functional teams, to align travel and event initiatives with broader organizational goals.
  • Liaise with internal and external stakeholders to gather requirements, provide support, and address inquiries related to travel and events.

Budgeting and Reporting:

  • Develop and manage travel and event budgets, ensuring cost-effectiveness and adherence to financial guidelines.
  • Track expenses, analyse variances, and provide regular reports on budget utilization and event outcomes.
  • Autonomously identify cost-saving opportunities and implement strategies to optimize travel and event expenditures.

What we’re looking for:

  • Bachelor's degree in business administration, hospitality, event management, or a related field.

  • Proven experience (5-8 years) in travel management and event planning, preferably in a corporate setting.
  • Seeking an individual with exceptional skills in Excel, PowerPoint, and poster design to effectively analyze data, create impactful presentations, and produce visually captivating posters for various projects
  • Strong self, organizational and project management skills.
  • Excellent communication and interpersonal skills, with the ability to build relationships with diverse global stakeholders.
  • Detail-oriented with exceptional problem-solving abilities.
  • Ability to work under pressure and manage multiple priorities simultaneously.
  • Proficiency in event management software and travel booking platforms.
  • Knowledge of industry best practices and trends in travel and event management.
  • Flexibility to work outside regular business hours and travel when necessary.
  • Monotype is expanding globally. Proficiency in one or more of the following languages is desirable (not mandatory) for this role: German, Japanese, French, Spanish.
