About the Role

Marsh is seeking a highly experienced Executive Assistant to provide senior-level administrative and operational support to executive leaders. This role is ideal for an individual with strong judgment, exceptional discretion, and a proven track record supporting executives in fast-paced, high-accountability environments.

You will act as a trusted partner and effective gatekeeper—ensuring priorities are managed, key meetings are well prepared, travel and logistics run smoothly, and stakeholders receive a consistently professional experience.

Key Responsibilities

Executive calendar and priority management

  • Manage complex, high-volume executive calendars, including coordination across time zones when required.
  • Anticipate conflicts and competing priorities; propose solutions that protect focus time and critical business commitments.
  • Ensure executives are fully prepared for meetings (agenda, objectives, attendees, context, and required pre-reads).
  • Maintain an effective rhythm of business (e.g., 1:1s, leadership meetings, monthly reviews, QBRs).

Meeting and communication coordination (internal and external)

  • Coordinate meetings with senior internal leaders and external stakeholders (clients, partners, vendors) with executive-level professionalism.
  • Prepare and quality-check briefing packs, agendas, action logs, and presentations.
  • Capture outcomes and drive follow-up on actions, owners, and deadlines when required.
  • Manage meeting logistics (rooms, MS Teams links, attendee lists) and proactively resolve scheduling/technology issues.

Travel, logistics, and event support

  • Arrange complex travel itineraries (domestic and international as required), including flights, hotels, ground transport, and contingency planning.
  • Prepare detailed itineraries and ensure all confirmations and documentation are in place.
  • Handle last-minute changes calmly and efficiently.
  • Support internal events and executive engagements (offsites, town halls, visits) as needed.

Administrative operations and business support

  • Process expenses and reimbursements accurately and on time, ensuring compliance with required documentation.
  • Draft, format, and proofread communications and documents to an executive-ready standard.
  • Coordinate approvals and administrative workflows; track and follow through to completion.
  • Maintain structured file management across Teams/SharePoint, including version control and access management.

Stakeholder management, confidentiality, and continuous improvement

  • Build strong working relationships across leadership teams, peers, and assistants to ensure seamless coordination.
  • Communicate clearly and tactfully at all levels; represent executives professionally.
  • Handle sensitive information with strict confidentiality and strong ethical judgment.
  • Identify opportunities to improve processes and standardize templates (agendas, action trackers, briefing packs).

Required Qualifications & Experience

  • 8+ years of progressive experience supporting senior leaders (executive management level), ideally in a multinational, professional services, consulting, financial services, or similarly complex environment.
  • Proven ability to manage complex calendars and coordinate across multiple stakeholders with competing priorities.
  • Demonstrated capability to handle confidential matters with discretion, maturity, and sound judgment.
  • Bachelor’s degree preferred (or equivalent combination of education and relevant experience).

Required Skills & Capabilities

  • Executive-level professionalism and strong stakeholder management skills.
  • Excellent written and verbal communication; able to draft high-quality correspondence and summaries.
  • Highly organized with strong attention to detail and dependable follow-through.
  • Proactive mindset with strong judgment on urgency, confidentiality, and escalation.
  • Strong collaboration and service orientation; able to operate effectively across teams and cultures.
  • Advanced proficiency in Microsoft 365 (Outlook, Teams, Word, PowerPoint, Excel) and strong working knowledge of Teams/SharePoint file management.
  • Resilient and calm under pressure; comfortable handling last-minute changes and shifting priorities.

Preferred / Advantageous Experience

  • Experience supporting multiple executives or a leadership team.
  • Professional services / client-facing environment experience with high standards of quality and responsiveness.
  • Experience coordinating leadership events (offsites, town halls, executive visits).
  • Familiarity with expense tools and workflow platforms in corporate environments.

Working Requirements

  • Based in Amman, Jordan, with flexibility aligned to business needs.
  • Occasional availability outside standard hours may be required to support executive schedules.
  • Limited travel support/coordination may be required depending on executive needs.
