SUMMARY
The Facility, Travel and Accounts Payable Coordinator provides support for all Alternate Solutions Health Network companies. This role coordinates corporate office building maintenance and housekeeping with outside vendors, as well as guide other agency facilities with building issues. The Facility, Travel and Accounts Payable Coordinator arranges travel for employees traveling to other company agencies, negotiates rental car agreements, and negotiates corporate hotel rates. The Facility, Travel and Accounts Payable Coordinator negotiates pricing with local florists and reviews company expenses. The Facility, Travel and Accounts Payable Coordinator will audit and enter weekly accounts payable invoices for payment and mail out the weekly accounts payable checks/payments.
KEY RESPONSIBILITIES
Maintain interior and exterior of property to ensure a safe environment for our workforce by providing facility management for all maintenance needs as well as janitorial services, canteen services, Shred It, Cintas, Fed Ex, and UPS. Consult with upper management on larger projects for HVAC, electrical and plumbing.
Reconcile credit card statements each month for purchases made throughout the organization.
Code and enter Accounts Payable invoices for payment, and mail weekly checks/special mailings.
Assist in year-end W2 prep and reconciliation.
Arrange for accommodations and transportation as needed for all traveling field staff employees in all locations.
Manage and maintain HR Board, post federal and state bulletins, pillar card winners, and other communications in Café area.
Manage and negotiate corporate rates for hotels and rental car agreements, and floral arrangements for company wide use.
Performs other duties as assigned.
QUALIFICATIONS
3+ years facility management and administrative experience the position, such as technical skills, software proficiency, communication skills, problem-solving abilities, etc.
Demonstrated proficiency with Microsoft Office Suite and Outlook
Experience with project management in a deadline driven environment
Excellent written, verbal and interpersonal communication skills
Client service skills and phone etiquette
Experience in making travel arrangements
Self-motivated, pays attention to detail and ability to work in a fast-paced environment.
EDUCATION AND CREDENTIALS
High school diploma or equivalent experience
