Acts as a liaison between the department and Supply Chain Management to ensure that inventory levels reflect the department's needs and are managed by established policies and procedures. Job Details
Responsibilities:
- Resolves shipping and receiving issues directly with the vendor or carriers.
- Monitors reports and resolves discrepancies.
- Provides technical set up and maintenance of automated ordering system
- Monitors, troubleshoots and resolves any automated ordering system issues
- Proactive monitoring of the system to prevent ordering issues
- Verifies accuracy of receipts, orders filled, and participates in consignment audits.
- Adjusts par levels based upon usage within the ERP system.
- Provides technical set up and maintenance of automated ordering system
- Monitors, troubleshoots and resolves any automated ordering system issues
- Develops and implements new systems or manages change of existing systems when necessary.
- Responds to recalls as directed by the FDA or other agencies.
- Assures that the facility is meeting regulatory requirements in the handling of biohazardous waste.
- Coordinates backorder process to supply inventory
- Acts as a resource for special supply requests.
- Notifies users of back orders and works to identify alternate products.
- Prepares broken or returned equipment for shipment, maintains documentation of returns.
- Manages consignment inventory items.
- Rotates stock within defined areas and performs routine expiration management to meet KPIs.
- Provides support the on project work.
- Collaborates with management to improve daily activates.
- Supports areas that care for patients with higher level of acuity and volume.
- Receives storeroom stock items from shipping and receiving area; unpacks and inspects items for damage; verifies accuracy of shipment and inputs information in the warehouse management system.
- Possibly, handles returns by completing technical documentation and other required communication.
- Supports Site Managers with communications with customers to fulfill areas’ stocking needs and anticipates future needs.
- Delivers supplies and materials to appropriate floors and health care facilities.
- Monitors the flow of traffic into dock areas, prioritizing deliveries ensuring the safe receipt of goods and supplies.
- Put away freight, supplies, packages, and perishable items from dock facilities using materials handling equipment.
- Verifies accuracy of shipments, checks for damage to goods and documents variances of orders. Prepares goods and supplies for distribution, prioritizing deliveries, sorting and labeling loads ensuring the safe, correct and timely delivery of orders.
- Stocks picking locations using warehouse management system; either manually or utilizing materials handling equipment according to identifying information; size, style, and numbers, ensuring the safe movement of materials.
- Performs regular cycle counts and physical counts of stock for inventory control verification and rotates stock to minimize loss of materials.
- Surveys, fills, and stocks Nursing floors and clinical areas to maintain inventory levels.
- Delivers items using necessary equipment to appropriate hospital locations, unloads and unpacks cases and stocks designated storage areas with supplies.
- Responds to inquiries related to materials in stock, ordering procedures, status of item, or filled orders.
- Maintains cleanliness of storeroom area; collects pallets from area and stacks for pick up.
- Maintains the proper and appropriate professional and ethical relationships with all vendor representatives, conducts business according to established principles and guidelines.
- Other duties as assigned.
Education:
- High School Diploma or GED required
Certifications:
- Must meet all Cleveland Clinic insurance requirements
- May require appropriate Valid Driver’s License (VDL) to drive box truck
Complexity of Work:
- Requires critical thinking skills, decisive judgment and the ability to work with minimal supervision.
- Must be able to work in a stressful environment and take appropriate action.
Work Experience:
- Minimum of 2 yrs. experience in inventory control functions with responsibility for par levels, purchasing functions, inventory analysis, and usage trends.
- Preferred experience in healthcare supply chain function.
- In lieu of 2 yrs. experience, an associates degree in supply chain management or a related field.
- On-the-Job Training: Six months on-the-job training required to learn specialized surgery components, inventory systems, and departmental policies and procedures.
- Computer systems experience including bar code readers, handheld computers, and printers preferred.
Physical Requirements:
- Requires full range of body motion, including handling and lifting items that weigh up to 50 pounds.
- Requires the ability to push a fully loaded cart weighing up to 800 pounds and pull a 2500-pound pallet using a manual pallet jack.
- Requires standing and walking for extensive periods of time.
- Lifts and carries.
- Must be able to work in a stressful environment and work irregular hours.
Personal Protective Equipment:
- Follows standard precautions using personal protective equipment as required.
