Role Overview

Reporting to the IT Operations team leader, the scheduling coordinator role is to assist the IT department with delivering the IT elements of all group new store openings in a project coordinator capacity. The role will also help support store closures, transition store into support and manage bespoke company acquisitions. The role is responsible for supporting the Regional IT Operations manager in their role as project manager overseeing new stores, and bespoke IT projects.

Accountabilities and Tasks:

The IT Scheduling coordinator role is to coordinate, assist and support for the IT functions of the business.

To assist the Regional Operations Managers in rolling out new stores;

  • Liaising with the warehouse to ensure IT kit is prepped and shipped as per each store requirements.
  • Ordering chip and pin and completing banking set up and provisioning.
  • Ordering HHT’s and AP’s and arranging the delivery.
  • Ensuring all parties is updated on the current status of each store.
  • Providing Capex quotes for each new store opening.
  • Completing a closing budget for each new store opening.
  • Assisting with the engineer’s schedule including flights, hotels, car hire and other travel arrangements.
  • Managing the master new store opening spreadsheet ensuring it is always up to date.
  • Collating a closure report once each store has opened.
  • Collating all paperwork for a new store opening.
  • Collecting data that is required for the store.
  • Completing a weekly and monthly store report.
  • To take joint responsibility in keeping all documentation required by the operations managers up to date.
  • To monitor issues within the rollouts / schedules and collate statistics on these.
  • To keep the project manager informed on all schedules and any issues or risks.
  • To project coordinator on all group store closures.
  • To liaise with third parties collecting quotes and raising orders.
  • Assist with power and data drawings including heatmaps.
  • Assist IT Ops colleagues with queries for new stores.
  • Regular updates and communication to be provided on each store issue using issue log tool.
  • Review 3rd party install work to ensure JD standard specification is being upheld.

Skills/Experience/Knowledge needed:

Essential

  • Excellent interpersonal skills.
  • Excellent attention to detail, organisational, prioritisation and time management skills
  • A strong desire to learn new skills.
  • Able to work to tight deadlines
  • Problem solving skills within an IT environment
  • Strong Customer Service ethos.
  • Aptitude for learning quickly and with minimal instruction.
  • Experience in using Word, Excel and PowerPoint, project planning.
  • A valid UK passport.
  • A valid UK driving license.

Preferable

  • Experience working in a retail environment.
  • Experience working in a projects environment.
  • Understanding of software tools such as Microsoft Project , excel and Visio.
  • Understanding the business drivers (e.g. tangible, intangible benefits)
  • Engineering experience but not essential as training is provided.
