オンサイト勤務で、受付・清掃・廃棄物管理・会議運営などの各種ベンダーサービスを統括管理し、オフィス環境の維持・改善を担当します。日常的な設備点検、トラブル対応、安全管理、予算管理を通じて、クライアントに卓越したファシリティサービスを提供する役割です。

What this job involves:

As the Facilities Coordinator at JLL's Work Dynamics division serving a major American multinational technology client in Tokyo, you will provide outstanding facilities management services while proactively leading, monitoring, and managing onsite client account activities. You will manage vendor services including facilities management, reception, mail operations, meetings and events, cleaning, waste and recycling, and vending machines while ensuring uninterrupted site operations and continuously improving services. This role requires authenticity and a genuine desire to deliver professional, value-focused services that exceed client expectations in an inclusive workplace environment. You will play a vital role in JLL's commitment to delivering transformative real estate solutions by managing operational excellence, vendor relationships, and health and safety compliance that supports our client's mission to create diverse and inclusive workplaces where everyone can thrive.

What your day-to-day will look like:

  • Manage vendor services including facilities management, reception, mail operations, meetings and events, cleaning, and waste management
  • Lead office inspections to identify defects before user escalation while finding root causes and delivering temporary and permanent solutions
  • Monitor and maintain office equipment and supplies while managing regular vendor contact and meetings for reporting and recommendations
  • Conduct weekly walk-rounds with vendor cleaning managers to ensure cleaning quality standards are maintained
  • Manage trouble tickets and requests while interfacing with internal customers and actioning queries promptly per service level agreements
  • Handle day-to-day health and safety issues including conducting fire drills, maintaining safety equipment records, and managing EHS operations
  • Manage vendor contracts, budgets, and spending while monitoring key performance indicators for efficiency, effectiveness, and quality.

Required Qualifications:

  • Familiarity with Scope of Work (SOW) and ability to assist Reporting Manager in delivering client satisfaction and uninterrupted site operations
  • Good IT skills with proficiency in MS Applications including Excel, Word, and PowerPoint
  • Strong interpersonal, oral, and written communication skills with presentation capabilities
  • Customer-centric approach with meticulous and organized working style
  • Team player mentality with integrity, honesty, and ability to work well with key stakeholders
  • Technical skills for facilities management with ability to establish and maintain good colleague relationships
  • Willingness to query guidelines and procedures when not in order while maintaining professional standards.

Preferred Qualifications:

  • Experience in facilities management within corporate technology environments
  • Vendor management experience with contract oversight and performance monitoring capabilities
  • Knowledge of EHS operations including fire safety teams, drills, and safety equipment management
  • Event coordination experience for internal corporate events and meeting facility management
  • Experience with trouble ticket systems and customer service in facilities environments
  • Regional collaboration experience with ability to implement global initiatives at local sites
  • Purchase order management and invoice processing experience with budget oversight capabilities.
