Job Description Summary:
Responsible for obtaining, coordinating, and directing information from patients, physician offices, hospital departments, and clinics in order to schedule patient appointments. Responsible for obtaining complete and accurate demographic, financial and clinical information to help ensure appropriate reimbursement for the hospital. Under the general direction of management personnel, responsible for scheduling patient appointments on an assigned shift, five days a week. The employee is subject to call back and overtime as required by the hospital.
Responsibilities
- Schedules patient appointments in accordance with hospital and departmental guidelines. Obtains and verifies all demographic, financial, and clinical information.
- Provides information to patients, physicians, and office personnel regarding appointment scheduling and preparation for outpatient testing procedures according to established unit guidelines.
- Greets patients and families and checks them into the clinic via the EMR and assures necessary clinic paperwork is completed.
- Performs timely scanning of medical record documents into the designated folders in the oncology EMR.
- Reviews the daily Televox report and contacts patients who canceled or missed their appointment to reschedule.
- Answers call and return messages from patients.
- Assists patients in signing up for patient portal access.
- Manages outgoing transcription queue from EMR and ensures contact information is correct for all referring providers. Faxes or emails reports to the provider if electronic contact is not an option.
- Responsible for correctly identifying appointment being scheduled, obtaining and placing pertinent and required information into the scheduling software. Gives out appropriate information and instructions based on the appointment being scheduled.
- Maintains knowledge of current insurance requirements including governmental programs, managed care contracts, and all other third-party payers. Responsible for ensuring compliance with the hospital’s financial policy.
- Ability to coordinate the services of multiple entities. Identifies the need for coordination between departments and facilities in order to schedule patients correctly.
- Seeks advice from clinical staff as needed.
- Coordinates and prioritizes daily activities and completes all assigned tasks.

- Assists with identifying and resolving issues to help promote continuous improvement within the department.
- Maintains knowledge and provides expertise, monitoring, and training for all scheduling software.
- Works in a collaborative manner and utilizes guest excellence skills with internal and external customers. Adapts and practices hospital Quality Plus culture. Routinely performs in a calm and professional manner and demonstrates flexibility to meet the needs of customers, patients, and staff.

Qualifications
EDUCATION:
Ability to read, write, spell, and utilize correct grammar as normally acquired through high school graduation or the equivalent thereof. 2-4 years of clerical or work-related experience preferred.
LICENSURE, REGISTRATION, CERTIFICATION:
N/A
EXPERIENCE:
Ability to perform clerical duties as normally required through 2-4 years of clerical or work related experience. ( hospital/physician office environment preferred) Knowledge of hospital and departmental policies and procedures as acquired through 3 months of orientation. Medical terminology class preferred.
